JOB SUMMARY:

We're looking for someone who will be flexible and able to seamlessly switch between tasks, contributing to both administrative and operational needs with a positive and solutions-oriented attitude.

LOCATION:

This is a hybrid position based out of our Kitchener, Ontario office. The successful candidate will be required to work from the office 2 days per week.

RESPONSIBILITIES:

Office Management

  • Providing administrative support to various teams across the business
  • Management of three office locations, including Kitchener, Toronto, and Barbados
  • On-site management of Kitchener office, including ordering office supplies, preparing shipments for courier pickup, and building maintenance
  • Main point of contact for all office-related vendors
  • Project support – ensuring all deadlines and project requirements are met

Event Management

  • Coordinating logistics for staff meeting and company-wide events
  • Event coordination will involve catering, venue contracts, and travel and accommodation
  • Coordinating domestic and international travel arrangements (flights, accommodation, transportation)

Executive Support

  • Expense management and reporting for executive leadership
  • Organize and facilitate board meetings, including liaising with members to confirm availability, ensuring timely scheduling, coordination, and logistical support
  • Managing executives' requests and correspondence with a high level of professionalism, accuracy, and confidentiality
  • Coordinating and collaborating with cross-functional teams
  • Consistent and timely communication with Chelsea Avondale executives and external stakeholders


Preferred Experience & Skills:

  • 2 - 5 years of experience working in a similar capacity
  • University or college degree preferred
  • Exceptional written and verbal communication skills
  • Self-starter, taking initiative to ensure your work gets done
  • Strong attention to detail
  • Proven organizational skills with an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • High integrity, capable of handling confidential information with discretion
  • Proficiency with a Mac, as well as with Excel, Word, Gmail, Google Calendar and other productivity tools
  • Highly collaborative with strong interpersonal skills
  • Open minded, flexible, and willing to learn
