About the Team
We are looking for a proactive and adaptable Administrative Assistant to join our team on a 12-month contract. This role is designed to provide crucial support to our Executive Assistant Team, helping to manage increasing workloads and ensure seamless business operations.
About the Role
Reporting directly to the Manager of Administrative Support Services, the Administrative Assistant will play a key role in supporting both the Manager and Executive Assistants who support PointClickCare’s Senior Leadership Team. This is an excellent opportunity to contribute to a dynamic and fast-paced environment, alleviate workflow bottlenecks during peak periods, and assist with event and meeting coordination.
Key Responsibilities:
- Administrative & Overflow Support: Provide direct assistance to Executive Assistants by managing administrative tasks such as meeting preparation, expense report processing, and handling overflow tasks during busy periods or critical business events.
- Calendar, Travel, & Expense Management: Assist with scheduling, travel arrangements, and expense reporting, particularly during peak times, ensuring timely and accurate bookings, submissions, and support for both new and outstanding reports.
- Project & Event Coordination: Support the planning and execution of high-priority projects and events, both onsite and offsite, including venue booking, catering arrangements, IT support, and other logistical needs.
- Ad-Hoc Research & Resource Allocation: Conduct research on various topics, summarize findings, and work closely with the Manager of Administrative Support Services to allocate resources effectively across the team based on workload demands.
- Collaboration, Communication, & Project Tracking: Work with Executive Assistants to understand their needs, provide support to optimize workload distribution, and assist in tracking departmental project milestones and deadlines.
- Project Tracking: Provide administrative assistance for various departmental projects, and support the Manager, Administrative Support Services in tracking milestones, coordinating resources, and ensuring project deadlines are met.
Your Key Strengths:
- Proven experience as an Administrative Assistant or in a similar support role, with strong organizational skills and the ability to handle multiple tasks and prioritize work in a fast-paced environment.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools such as AI, Microsoft Co-Pilot and/or SharePoint experience would be an asset
- Strong problem-solving skills with a proactive approach to identifying needs and offering support, coupled with the ability to work independently and as part of a team to ensure smooth operations
- Resourceful, adaptable, and flexible in handling shifting priorities, with the ability to manage multiple tasks and responsibilities while being highly organized and detail-oriented
- Excellent verbal and written communication skills, with the ability to interact professionally with executives and stakeholders
Bonus Skills:
- Proven experience as an Administrative Assistant or in a similar support role, with strong organizational skills and the ability to handle multiple tasks and prioritize work in a fast-paced environment.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools such as AI, Microsoft Co-Pilot and/or SharePoint experience would be an asset
