Who are we looking for?

We are seeking a Payroll Coordinator who will play a key role in supporting the accurate and timely administration of payroll for our growing Canadian retail organization. The Payroll Coordinator will be responsible for processing payroll for Jumbo, maintaining employee payroll records, reviewing timesheets and attendance information, responding to payroll-related inquiries, and ensuring compliance with applicable payroll legislation and company policies.

The successful candidate will work closely with Payroll Supervisor, HR, Finance, and store teams to ensure payroll information is accurate, complete, and processed on time.

Location: This role is based out of our Head Office at Yorkdale Mall, Toronto. The successful candidate will work on-site four days per week, with one day available for remote work.

Job Responsibilities include (but are not limited to) the following:

Payroll Coordinator

  • Coordinate and process semi-monthly payroll for hourly and salaried employees within the Jumbo brand, while also providing payroll support for other brands as needed.
  • Review timesheets, attendance, overtime, vacation, statutory holiday, sick time, and other payroll-related information for accuracy.
  • Ensure payroll changes, new hires, terminations, promotions, transfers, and compensation changes are accurately entered and processed.
  • Maintain accurate and up-to-date employee payroll records.
  • Review payroll reports, identify discrepancies, investigate differences, and escalate issues as required prior to payroll submission. Process payroll adjustments, retroactive payments, bonuses, commissions, and other earnings as required.
  • Ensure payroll is processed accurately and within established deadlines.
  • Respond to employee and manager inquiries regarding payroll, deductions, benefits, and pay-related matters.

 Payroll Compliance & Reporting

  • Process payroll in accordance with applicable federal and provincial legislation and company policies. Assist with the preparation and reconciliation of government remittances and payroll-related filings. Assist with year-end payroll activities, including T4s where applicable, and other required reporting.
  • Support government remittances and payroll-related filings.
  • Maintain accurate payroll documentation and records for audit and compliance purposes.
  • Stay informed of changes to Canadian payroll legislation and requirements.
  • Assist in documenting, developing, and maintaining payroll SOPs specific to Jumbo's requirements.

HR & Finance Support

  • Work closely with HR to ensure employee information and payroll changes are accurately reflected in payroll systems.
  • Partner with Finance on payroll reconciliations, reporting, and month-end activities.
  • Assist with payroll-related accounting entries and reconciliations.
  • Support the onboarding and offboarding process from a payroll perspective.
  • Assist with payroll audits and provide required documentation.
  • Support the development and improvement of payroll processes and internal controls.
  • Complete additional payroll-related projects and assignments as required.

 Education / Certification

  • Post-secondary education in Payroll, Accounting, Finance, Human Resources, or a related field.
  • PCP designation or working toward PCP certification is an asset.

The ideal candidate:

  • Recently graduated from a Payroll, Accounting, Finance, Human Resources, or related program, or has approximately 1 year of payroll experience.
  • Basic understanding of Canadian payroll principles and legislation.
  • Experience with payroll systems or HRIS platforms is an asset.
  • Strong Microsoft Excel skills, including experience working with formulas, lookups, sorting, filtering, and data sets. Strong attention to detail and a high level of accuracy.
  • Ability to identify discrepancies, investigate differences, and communicate findings clearly.
  • Eager to learn and develop a career in payroll.
  • Retail, multi-location, or high-volume payroll experience is an asset, but not required.
  • Strong organizational skills and the ability to meet deadlines.
  • Experience with ADP, BambooHR, and B-Soft is a strong asset.
  • Positive, collaborative, and service-oriented approach.
  • Ability to handle sensitive employee and payroll information with professionalism and discretion. Comfortable working in a fast-paced, growing organization with changing priorities.
  • Comfortable working with large data sets and learning multiple payroll, timekeeping, and HR systems.

Skills:

  • Candidates will be asked to complete an Excel assessment following the interview.
  • Excellent analytical and problem-solving skills.
  • Strong written and verbal communication skills.
  • Strong customer-service mindset with the ability to respond professionally to employee and manager inquiries.
  • Ability to work independently on assigned responsibilities while collaborating effectively with HR, Finance, and Operations.

Pay Range: $50,000 - $60,000
