About the role

We’re looking for a skilled, agile Office Manager to take ownership of the operational excellence and daily running of our multi-tier Malta office. 

This role is essential in ensuring our workspace is well-maintained, organised, and fully equipped to support a high-performing team in a fast-paced environment.

Roles & Responsibilities: 

  • Manage relationships with all office vendors — landlords, cleaners, maintenance teams, contractors, and suppliers.
  • Oversee day-to-day office needs: snacks, plants, supplies, equipment, repairs, and overall space maintenance.
  • Coordinate office organisation across multiple floors, including seating plans, relocations, and new equipment installations.
  • Prepare and welcome new hires, ensuring workstations, onboarding packs, and meeting rooms are ready.
  • Support external teams, visitors, and meetings, including room preparation and scheduling/calendar coordination.
  • Organise and assist with internal team activities, celebrations, and company events.
  • Maintain a well-managed office budget, ensuring smart procurement and cost efficiency.
  • Uphold a high standard of cleanliness, order, and presentation throughout the workspace.
  • Adapt quickly, prioritise effectively, and meet tight deadlines with confidence and professionalism.

  • Highly organised, detail-focused, and proactive.
  • Comfortable working in a fast-paced, agile environment.
  • Skilled at managing multiple tasks and stakeholders simultaneously.
  • Experienced in office operations, facilities coordination, or workplace management.
  • A strong communicator who enjoys supporting people and creating a great office experience.
  • Professional, reliable, and confident taking ownership of complex operational processes.
