Your role within the team:

To perform this role successfully, the candidate will be responsible for but not limited to the following:

  • Format, edit, proofread, and distribute outgoing correspondence, reports, proposals, and other documents according to company templates and standards.
  • Classify documents related to projects according to the established document control procedure including preparing and formatting with details provided by multi-disciplines.
  • Prepare and distribute agendas, notes, PowerPoint slides, and other material needed prior to meetings; record, prepare and distribute meeting minutes.
  • Manage, log, file and circulate regular and electronic incoming mail and other correspondence material to ensure that the most up-to-date information reaches the relevant departments and team members in a timely manner.
  • Ensure sufficient office supplies are maintained including filing systems for correspondence and other communications both incoming and outgoing.
  • Adhoc duties as assigned by Administrative Lead based on department needs.

The ideal candidate:

  • Minimum of 2 - 4 years previous related experience working in a large office or project environment within a related role.
  • Advanced proficiency in Microsoft Office Suite including Excel, Word, PowerPoint, and Adobe Acrobat; along with excellent formatting experience.
  • Strong written and oral communication skills with excellent interpersonal and organizational skills.
  • Ability to balance priorities while meeting deadlines and remaining detail oriented ensuring accuracy
  • Excellent verbal and written communication skills in the English language with the ability to correct grammar, spelling, punctuation, and narrative flow. French language skills are not required however bilingualism is an asset.
