Reporting to the Executive Assistant, the Office Services Assistant plays a key role in maintaining a clean, organized, and welcoming office environment. This position supports the day-to-day operation of the workplace by ensuring kitchens, meeting rooms, common areas, and office supplies are properly maintained, stocked, and ready for use. Through a proactive and service-oriented approach, the Office Services Assistant helps ensure employees and visitors have a positive workplace experience.


Primary Scope of Role

Office & Kitchen Maintenance

  • Maintain the cleanliness and organization of kitchens, lunchrooms, coffee stations, and other shared spaces throughout the workday.
  • Load and unload dishwashers and ensure dishes, utensils, and kitchen items are properly stored.
  • Monitor and replenish coffee, tea, beverages, and other kitchen supplies.
  • Ensure refrigerators, counters, and communal areas remain neat and presentable.
  • Identify and report maintenance, facility, or cleaning concerns as required.

Workplace Supplies & Inventory

  • Monitor inventory levels of office and kitchen supplies.
  • Restock kitchen supplies, paper products, stationery, and other workplace essentials.
  • Receive, unpack, organize, and distribute incoming workplace supplies.
  • Maintain storage areas in an organized and efficient manner.
  • Assist with inventory tracking and ordering requests.

Meeting & Event Support

  • Prepare meeting rooms before scheduled meetings, including room setup, refreshments, and supplies.
  • Assist with catering coordination and setup for meetings, training sessions, and employee events.
  • Reset meeting rooms following use to ensure readiness for future bookings.
  • Support internal events and workplace initiatives as required.

Workplace Experience Support

  • Conduct regular walkthroughs of the office to ensure kitchens, common areas, and shared facilities remain clean, stocked, and welcoming for employees, candidates, clients, and visitors.
  • Support office administration activities and collaboration with Office Services, Human Resources, and other teams on workplace-related initiatives.
  • Assist with ensuring employee workstations are prepared for onboarding, including cleaning desks, setting up basic office supplies, and ensuring workspaces are ready for new hires' first day.
  • Cover front desk receptionist duties during lunch breaks and as needed.

Position Requirements

  • High school diploma or equivalent.
  • Previous experience in office support, hospitality, facilities, customer service, workplace services, or a related field.
  • Basic knowledge of Microsoft Office Suite, including Outlook and Word.
  • Experience working in a corporate office environment is preferred.
  • Strong organizational and time management skills.
  • High attention to detail and pride in maintaining a clean and welcoming environment.
  • Ability to proactively identify and address workplace needs.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize tasks and work independently.
  • Reliable, dependable, and self-motivated.
  • Ability to lift and move boxes and supplies up to 25 lbs.

WHAT WE OFFER

  • Expected Base Salary: $43,0000 - $48,000 per year. The actual base salary will depend on several factors including experience, qualifications, internal equity, work location and market expectations.
