Position Overview

The Workplace Coordinator will be responsible for supporting workplace operations and coordinating various services at a client site. This individual will work closely with property management, onsite vendors, and various internal teams to ensure a seamless and efficient workplace environment. The ideal candidate should possess excellent organizational and communication skills, as well as the ability to work well in a fast-paced, dynamic setting.

What This Job Involves

Workplace Operations Support Support daily workplace operations including reception, mailroom, facilities, and janitorial duties while maintaining high service standards and ensuring smooth functionality across all areas.

Client Service Delivery Implement workplace programming and services locally, aligning with client needs and expectations. Serve as an extension of multiple client teams for special projects as needed.

Stakeholder Coordination Liaise with property management, local client employees, and onsite vendors to ensure smooth operations. Collaborate with physical security, health and safety, events, food, and IT teams to support onsite operations.

Quality Management Take ownership of workplace quality, ensuring tidiness and cleanliness throughout the office space. Oversee and manage the workplace work order management system and internal customer support.

Event and Meeting Logistics Coordinate logistics for events and meetings, ensuring everything runs smoothly. Assist with procurement and organization of supplies, including office supplies and promotional materials.

Documentation and Process Management Manage documentation and processes related to workplace coordination, maintaining accurate records and supporting continuous improvement initiatives.

Sounds Like You?

Required Qualifications:

  • Experience in reception, mailroom, facilities, janitorial, or related roles
  • Knowledge of workplace work order management systems and internal customer support
  • Familiarity with procurement and organization of office supplies
  • Willingness to collaborate with cross-functional teams and various stakeholders
  • Ability to adapt quickly to changing priorities and handle multiple projects simultaneously
  • Strong problem-solving skills and ability to proactively address issues as they arise
  • Excellent time management skills and the ability to work independently and proactively

Preferred Qualifications:

  • Previous experience in facilities management or workplace coordination
  • Familiarity with workplace programming and services implementation
  • Strong interpersonal skills and the ability to effectively communicate with stakeholders at all levels
  • Proven ability to oversee the quality and cleanliness of a large office space
  • Experience coordinating events and meetings
  • Proficiency in common business software programs such as Mac, Google Suite, and Slack
  • Strong attention to detail and ability to multitask effectively

Estimated compensation for this position:

65,000.00 – 65,000.00 CAD per year

This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
