The Payroll Specialist plays an essential role in the accurate and timely processing of Canadian and/or US payrolls. This position is responsible for managing regular payroll cycles, processing employee changes such as hires and terminations, and resolving routine payroll issues. Working closely with HR and Finance, this role ensures that payroll operations run smoothly and in compliance with all relevant legislation and internal standards.
Your Responsibilities
Payroll Processing
Prepare and process end-to-end payroll cycles (weekly, bi-weekly, and semi-monthly) for assigned employee groups, accurately and timely.
Review and enter payroll inputs, including hours worked, leaves, deductions, and earnings adjustments.
Ensure payroll deadlines are met, and calculations are accurate.
Audit timesheets and resolve discrepancies before payroll submission.
Employee Changes
Process employee lifecycle transactions in the payroll system including hires, terminations, promotions, and compensation updates.
Maintain accurate employee payroll records in compliance with organizational policies and legal requirements.
Coordinate with HR to ensure employee data is consistent across systems.
Issue Resolution & Support
Respond to standard payroll-related inquiries from divisional HR teams via our internal ticketing program (M42).
Troubleshoot and resolve routine payroll issues related to pay, tax withholdings, deductions, and benefits.
Escalate complex or unresolved issues to senior payroll specialists, payroll leads/supervisors.
Compliance & Documentation
Ensure payroll processes follow relevant federal/provincial/state laws and company policies.
Complete payroll audits and year-end tax reporting (e.g., T4s, W-2s).
Support reconciliation of payroll accounts and remittances to third parties.
Qualifications
2–5 years of experience processing Canadian and/or US payroll.
Strong working knowledge of payroll fundamentals, legislation, and statutory deductions.
Experience with HRIS or payroll systems is an asset.
PCP certification or FPC in progress or completed is preferred.
Basic understanding of accounting and payroll reconciliation processes.
Skills & Competencies
High attention to detail with a strong commitment to accuracy and compliance.
Excellent organizational and time-management skills to meet strict deadlines.
Strong communication and interpersonal skills.
Ability to handle sensitive and confidential information with discretion.
Proficiency in Microsoft Excel and general comfort with data entry and audit tasks.
