Job Description:

POSITION SUMMARY:

Under the supervision of the Administrative Manager, Receptionists are responsible for greeting visitors and delivering exceptional customer service assistance. This entails answering calls and fielding them, accordingly, addressing visitor questions and needs, and providing an overall welcoming environment and other clerical duties

The Receptionist is required to perform their duties in a manner consistent with the Salvation Army Meighen Health Centre’s core values, ensure resident safety, and demonstrate customer service excellence while responsible for planning, implementation and evaluation of programs and services provided to the residents.

SCOPE, AUTHORITY AND TERMS OF REFERENCE:

The Receptionist position at the Meighen Retirement Residence reports to the Administrative Manager.

SPECIFIC RESPONSIBILITIES:

General Strategy:

  • Creates a Welcoming environment by greeting guests, answering phone calls, directing visitors to appropriate areas.
  • Takes customer complaints or issues and passes them on to the appropriate parties.
  • Receives and transfers incoming calls, pages staff members or other parties as required or transmits messages.
  • Provides standard information on facility and Residents, in accordance with facility policies and procedures.
  • Clerical duties to include, routine letters, memoranda, reports, forms, faxing & photocopying etc., and checks typing for accuracy, sorts and prioritizes typing assignments within general guidelines.
  • Manage inventory of supplies and follows process for replenishing and requests.
  • Sorts, records, and distributes incoming mail, and processes outgoing mail.
  • Monitors and logs visitor, contractor, and volunteer Access cards.
  • Assists with scheduling when necessary.
  • Contact family members with regard to residents’ mail held at Reception.
  • Records bookings for Community Room and Conference/Board Room.
  • Receives residents’ clothing for labeling and prepares labels for Laundry staff.
  • Answers intercom system for receiving door, front door, and other access doors.
  • Assists spiritual care and other departments by proof-reading and folding bulletins.
  • Books Wheel Trans wheelchair transport and taxis as requested by residents
  • Ensure the reception office area is kept neat tidy and organized.
  • Follows confidentiality and privacy principles in the reception area.
  • Completes annual mandatory education.

Financial Accountability:

  • Receives and logs cheques or cash received and provides receipt where applicable.
  • Maintains inventory of office supplies, reordering when necessary or upon request.

Human Resources:

  • Welcomes job interview candidates and provides the Salvation Army Job Application
  • Where applicable demonstrates understanding of and compliance with legislative knowledge of the Employment Standards Act, Human Rights Act, Collective Agreement and MOHLTC Act as it applies to the position.

Health and Safety:

  • Initiates established communications procedures in case of fire or other emergencies, using paging system where necessary.
  • Demonstrates understanding of, and compliance with, workers’ responsibilities under the Occupational Health and   Safety Act and Regulations, WSIB policy and Meighen Health Centre’s Health and Safety plans, policies and procedures. 
  • Attends Health and Safety in-services and taking action to address unsafe conditions and/or procedures, to ensure   a healthy and safe work environment.

Community Relations:

  • Promotes a positive working environment with the service providers working with MHC
  • Establishes and maintains positive communication between the MHC and the community.

Family and Resident Relations:

  • Models and fosters an environment of positive customer service in all aspects of care
  • When within a scope of responsibility responds promptly to concerns of residents and family members, mediating a satisfactory response to concerns and implements action plans to avoid reoccurrence of similar issues;
  • Facilitates communication to foster positive resident outcomes;
  • Establishes and sustains care in a manner that is resident centred and fosters evidence based best practice.

Quality Management:

  • Participates in the implementation of quality and risk management program for the administrative department.

Ministry of Health Compliance:

  • Fosters good working relationships with relevant persons within the Ministry of Health and Long-Term Care (MOHLTC)
  • Understands all components of related legislation for staff, residents and families.

QUALIFICATIONS:

Education & Experience

  • Completion of Grade 12.
  • Previous experience in a long-term care setting or similar setting, an asset.

Competencies

  • Proficiency in Microsoft Office software applications
  • Proficiency in typing/keyboarding
  • Exceptional communication skills both verbal and written
  • Ability to deal with others effectively, including responding to requests from Residents and family members
  • Ability to organize work and meet deadlines and multitask
  • Ability to operate related equipment
  • Knowledge of Microsoft office programs

Compensation:

The target hiring range for this position is $18.50 to $23.13 with a maximum of $27.76.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
