Reporting to the Director of Procurement, the Procurement Project Coordinator will be responsible for project procurement administration support for Extendicare Redevelopment projects and SGP members projects as per Corporate Policies and SGP policies and procedures
This position will be based at our Head Office in Markham, Ontario, with flexibility for in-office work as part of our hybrid work model.
Accountabilities
- Work with Project Procurement Managers, Procurement team, corporate departments and SGP Members to source and issue tenders as directed
- Draft bid summaries for project team review as assigned
- Set up vendors in ERP system and project procurement software and ensure projects are set up are accurate and complete prior to order placement
- Place orders as requested, obtain vendor acknowledgments, coordinate deliveries, expedite order and track and monitor order status continuously throughout the project
- Update budget tracker with key information such as purchase order information, delivery dates, invoice numbers and amounts
- Invoice management to include the review of invoices to purchase orders, resolve discrepancies and attain proof of delivery to ensure invoice payments are made on a timely basis
- Create and maintain project folders and update continuously to keep current.
- Work with Finance to provide credit information to vendors as needed
- Work with vendors and stakeholders (such as corporate, operations, consultants and construction) to coordinate deliveries in accordance to project milestones and timelines
- Travel to project site to support the management of deliveries and installations on site as needed
- Coordinate vendor training with operations on site with operations as needed
- Support project close activities such as preparing final project close documents
- Collaborate with SGP category leads to source products and resolve issues as needed
- Perform other duties and responsibilities, as required.
- Contribute to the development of department initiatives, enhancements, and procedures
Qualifications and Experience
- Post-secondary education in Business Administration, Procurement or Accounting.
- 2-3 years of experience working in procurement or project based environment.
- Experience in order placement, expediting and invoice management.
- Knowledge in basic accounting principles.
- Ability to prioritize, multitask and meet deadlines with a sense of urgency.
- Must be detailed oriented
- Must be proficient in Excel and able to manage complex spreadsheets
- Excellent customer service orientation.
- Excellent verbal and written communication skills
- Preferred to have a valid driver’s license and access to a vehicle, as on-site presence at new builds is required to support openings.
- Self-motivated, accountable and ability to work independently.
