Your role and responsibilities:

The Payroll Administrator is responsible for the accurate and timely processing of payroll using ADP Workforce Now (WFN) and related ADP systems. This role ensures compliance with applicable payroll legislation, company policies, and maintains confidentiality of employee information.

  • Payroll Processing: Process full-cycle payroll (weekly, bi-weekly, or semi-monthly) using ADP Workforce Now (WFN). Ensure accurate calculation of wages, overtime, bonuses, commissions, and deductions. Review and validate payroll reports prior to finalization. Process off-cycle payments, including terminations, adjustments, and retroactive pay.
  • Compliance & Reporting: Ensure compliance with federal and provincial payroll legislation (e.g., CRA regulations, Employment Standards). Prepare and reconcile payroll-related reports including T4s, ROEs, and year-end filings. Maintain up-to-date knowledge of payroll laws and regulatory requirements.
  • Employee Data Management: Maintain and update employee records in ADP systems (new hires, terminations, changes). Collaborate with HR to ensure employee data accuracy. Respond to payroll-related inquiries from employees and management.
  • Reconciliation & Audits: Perform regular payroll reconciliations (earnings, deductions, benefits). Resolve discrepancies and ensure accuracy of payroll data. Assist in internal and external payroll audits as required.
  • Benefits & Deductions Administration: Administer employee benefits, pension contributions, and other payroll deductions. Coordinate with benefits providers to ensure accurate deductions and reporting.
  • System Administration: Utilize ADP Workforce Now (WFN) and other ADP modules for payroll processing and reporting. Assist with system updates, testing, and implementation of enhancements if needed. Generate custom reports as required by Finance or HR teams.
Basic qualifications and experience:
  • Post-secondary education in Accounting, Finance, Business Administration, or related field.
  • Minimum 2–5 years of full-cycle payroll processing experience.
  • Hands-on experience with ADP Workforce Now (WFN) and/or other ADP payroll systems is required.
  • Strong knowledge of Canadian payroll legislation, provincial employment standards, and CRA tax guidelines.
  • High level of accuracy and strong attention to detail.
  • Excellent organizational, time management, communication, and customer service skills.
  • Proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUPs).
Preferred qualifications and experience:
  • PCP (Payroll Compliance Practitioner) designation—or currently working towards it—is considered an asset.
  • Experience completing payroll for US based employees
