Our Canadian operations are currently looking for an enthusiastic individual with excellent organizational, communication and multi-tasking skills along with the ability to prioritize and manage a diverse workload to join our Office Services team. The ideal candidate will be managing the mailroom counter and covering reception as needed. This role requires the candidate to be in the office from 8am – 5pm.

Responsibilities:

  • Pick-up and process incoming and outgoing mail;
  • Sort, collect and distribute mail and packages;
  • Maintain accurate records of all couriers and process incoming and outgoing mail;
  • Accurately document all cheques and security certificates that arrive by mail or courier;
  • Programming and recording security access cards;
  • Maintaining an adequate inventory of stationery supplies and proactively placing orders when needed;
  • Validate and code invoices for stock and supplies;
  • Overseeing the copy rooms to ensure timely replenishment of paper and other necessary materials;
  • Process invoices and perform additional administrative duties as required;
  • Effectively respond to all inquiries from clients, couriers and employees in a friendly and professional manner;
  • Keeping detailed and accurate records of visitor requests and of calls received;
  • Handle incoming calls on a high-volume multi-line switchboard;
  • Coordinating the booking and setting up of meeting rooms;
  • Coordinate catering orders with customer and catering companies;
  • Set-up, serve, and clean-up boardrooms for catered meetings as needed;
  • Maintaining cleanliness of all meeting and board rooms on all floors;
  • Creating a professional and welcoming environment with outstanding customer service skills;
  • Maintaining a safe and clean mailroom and reception area by complying with procedures, rules, and regulations;
  • Assist other members of the Office Services team as required.

Skills & Qualifications:

  • Previous working experience in a similar role would be an asset;
  • Excellent customer service and communication skills;
  • Strong organizational and prioritization skills;
  • Ability to problem solve and take initiative;
  • Detail oriented, professional, polished, corporate presentation;
  • Intermediate knowledge of MS Office (Outlook, Word & Excel).
