We’re looking for a fabulous Office Coordinator to be the friendly front-face of our Toronto office.  

This is an in-office role open to full-time and part-time applicants. Please note that part-time applicants must be available to work in our Downtown Toronto office Monday – Friday from 8:30am to 2:30pm (at a minimum). Our office is located at the corner of York & Adelaide St W (near Union Station).

Key Accountabilities:  

Office coordination   

  • In this key role, you are the front-face of Nous: a friendly first point of contact for reception and phone support for the office, including greeting colleagues, clients and guests, answering phones and emails, managing couriers and postal needs 

  • Perform day-to-day operational and administrative duties, including managing stock supplies (including food & beverage), replenishing goods, reconciling purchases, and keeping office space tidy, ensuring office equipment is in working order, managing room bookings and setting up for workshops / events / meetings where required

  • Provide virtual administrative support to our Vancouver office, acting as a liaison between Vancouver office reception and the Nous Vancouver team

  • Work closely with building management and service providers to ensure office spaces are maintained and secure 

  • Champion workplace health and safety as a key member of the Joint Health & Safety Committee 

  • Act as the Toronto office liaison with the local and international IT teams to address and resolve any IT-related issues 

  • Support onboarding and offboarding processes, including scheduling onboarding activities and meetings, booking travel (if required) and ensuring desks and equipment are prepared  

  • Organize weekly care and connection activities for the office 

  • Coordinate general meeting and event logistics, including venue bookings and catering 

  • Coordinate and distribute relevant internal communications, announcements and updates 

  • Drive continuous improvement in administrative processes and systems 

NousCubane coordination  

  • Provide administrative support to NousCubane staff, including coordinating travel, scheduling meetings and managing calendars 
  • Perform research tasks and maintain data in our internal systems 
  • Coordinate and support NousCubane events and conferences in collaboration with our Marketing team 

And the practical experience:  

  • Previous experience in an Office Manager, Office Coordinator, or related administrative role 
  • Focus on customer service standards, with exceptional written and verbal communication skills, capable of communicating clearly and professionally with a range of internal and external stakeholders 
  • Excellent organizational skills with meticulous attention to detail 
  • Strong computer skills, including proficiency in the Microsoft Office suite 
  • Demonstrated capability to learn new software and systems quickly 
  • Ability to prioritize and multi-task in a busy and sometimes ambiguous environment 
  • Demonstrated independence and comfort in taking initiative on resolving issues within scope of responsibility 
  • A tendency to think innovatively and explore new possibilities 
  • A flexible attitude, loves to help others and is willing to take on new challenges!
