Job Responsibilities:

  • First point of contact for employee inquiries, redirecting to senior team members as required
  • Responsible for providing administrative support to the Human Resources Department
  • Assist with the planning of social events and complete administrative activities for social initiatives (preparing letters, gift cards, sorting and distributing of company gifts)
  • Provide administrative support to the Health, Safety and Environmental Specialist
  • Update and maintain Dortec communication boards, MagnaNow, MyLife App, Newsletter and Health, Safety and Environmental communication areas. Ensure all communication is up-to-date, consistent, and presented in a manner that supports the Dortec and Magna branding.
  • Create communication postings, posters, etc. as required
  • Assist with Monthly Employee Communication Meetings (such as scheduling, and completing meeting minutes)
  • Assist with the administrative functions of Magna’s Service Award Program through sorting and distributing gifts, yearbooks and creating certificates
  • Assist with the administrative functions of Magna’s Retirement Program
  • Ensure all job descriptions are updated and signed off by employees on an annual basis
  • Ensure all hourly performance reviews are completed through Workday
  • Assist in updating of Human Resources documents on the document control system
  • Assist in Time and Attendance auditing and pay adjustments for bi-weekly payroll
  • Act as an advisor to employees regarding the Short-Term Absence process as well as complete employer documents and conduct follow-up communication with employees, the benefits provider, supervisors and HR as required
  • Update and maintain employee records within the HRIS (Workday) – i.e. processing pay changes, updating contact information etc.
  • Call employees as requested by their supervisor to notify them of work shortages, vacation approvals etc.
  • Ensure shop floor visibility and coverage for all shifts as required
  • Promote positive Employee Relations and assist with responsibilities such as updating company policies, procedures and responding to employee inquiries in a timely manner
  • Maintains a professional customer service-oriented manner and supports the corporate image as per Company and Departmental objectives and policies.
  • Assist with temporary direct labour staffing and all recruitment activities (i.e. posting jobs, screening candidates, administering written assessments)
  • Coordinate Monthly Coffee Chat, including meeting minutes preparation and distribution
  • Prepare and conduct New Employee Orientation materials/packages as required
  • Administer Training notifications and updating the Training Database
  • Maintain physical employee files through regular filing
  • Support the Magna Employee Charter principles and ensure fair and equitable treatment of all employees
  • Maintain strict confidentiality of all information obtained, written or verbal, within the Human Resources Department.
  • Follows and models safe working practices and promotes safety in the workplace
  • Perform other duties as required

Qualifications and Skills:

  • Post-Secondary Education in Human Resources Management, or equivalent
  • Experience working in the automotive industry or the manufacturing industry an asset
  • Working towards CHRP designation an asset
  • Excellent organizational and communication skills
  • Working knowledge of all current Employment Legislation (ESA, OHSA, AODA)
  • Ability to work in a fast-paced environment
  • Computer literate with experience in Microsoft Office (Word, Excel, PowerPoint)
  • Previous experience with Time and Attendance an asset (i.e Dayforce)
  • Previous experience with an HRIS an asset (i.e Workday)

Salary Range: $55,000 - $65,000

Vacancy Status: Immediate, open position
