Our employer partner, a major Canadian Credit Union, is currently looking to add an experienced Human Resources Coordinator to their team!
Job Overview:
As the first point of contact for employees, the HR Coordinator provides client-centric support with a focus on employee onboarding and other employee lifecycle activities, reporting, and supporting the People & Culture (P&C) team in executing human resource related activities.
Key Responsibilities:
Provide first level support to employees and People Leaders in the areas of policy interpretation and administration, employment legislation, employee programs, and related human resource functions and practices
Coordinate employee onboarding, offboarding, and other lifecycle activities including making entries into the Human Resources Information System (HRIS); maintain employee and other department files; initiate and track all administrative requirements, and coordinate workflows between P&C teams
Coordinate employee related Learning Management System (LMS) activities including employee onboarding, training assignments, offboarding, invoicing etc.; act as an LMS expert and provide end-user support to employees, liaising with the third-party vendor as required
Monitor mandatory training completions and follow-up with employees as needed; produce quarterly completion status reports and support annual board reporting on training completions
Support the roll-out of annual mandatory training and attestation projects, test LMS files, monitor and report on employee completions
Coordinate employee registrations, follow-up, and reporting for non-LMS learning initiatives (annual pension webinars, benefits webinars, etc.)
Prepare first-level human resources related reporting including basic reports out of HRIS, organizational charts, lieu-time reconciliation, employee moves and headcount reports; and other ad-hoc reports as required
Complete biweekly unpaid absence reporting, problem solving where possible and escalating for help when needed
Monitor, track, and action applicable pension enrollments, employee related licensing requirements or other employment conditions, conditional bonds, and work permit expiries; support employee benefit plan changes
Draft job letters, employment verifications, position change letters, and other employee related correspondence
Support cyclical activities, such as the performance review cycle and the creation and distribution of bonus and salary increase letters, internal and external audits and other system related reviews or exams requiring input or support
Manage pregnancy, parental, family caregiver, and other standard job-protected leaves and provide support for other non-medical leaves of absence while limiting risk where possible
Coordinate standard full-cycle medical disability leaves of absence claims; coordinating third party case initiation and claims management through to return to work.
Support the P&C team with planned communication activities including updating applicable material on the company intranet
Support Health & Safety program by scheduling and attending Joint Health & Safety Committee meetings, preparing meeting agendas, maintaining the annual workplan, recording minutes, preparing reports, and maintaining required postings in all company locations
Continually identify solutions to simplify, automate, and improve HR processes and workflows to create operational efficiencies and scalability
Keep current on applicable human resources trends and legislative requirements
Support the broader People & Culture team, as required, with other duties as assigned
Occupational Experience & Education Requirements
Post-secondary education in Business or Human Resources
1 to 2 years’ experience in a human resources capacity (i.e. HR Administrator etc.) considered an asset
CHRP Designation (achieved or in progress) considered an asset
Experience participating in a Joint Health & Safety Committee or supporting general Health & Safety activities considered an asset
Experience within the credit union or financial services industry considered an asset

Ability to seek out opportunities to improve processes and procedures that will positively impact workflows
High level of integrity, ethics and professionalism; must be able to handle all confidential information with discretion and sensitivity
Working knowledge of relevant employment and human rights legislation
Proficient in Microsoft Office suite of products, including ability to work with data in Excel to present information that is accurate and easy to work with
Working Conditions
Normal office environment. Standard work week of 38 hours with additional time may be required to meet deadlines and project deliverables.
