Company Description

The Human Resources Assistant provides administrative and coordination support to the People & Culture team, with a focus on health & safety, documentation, and day-to-day HR operations. 

This role supports hiring managers by facilitating job postings and maintaining recruitment systems for hourly roles, while ensuring HR documentation and processes are completed accurately and efficiently. The Human Resources Assistant also plays a key role in coordinating health & safety programs, including claims management and training initiatives, across O&B locations. 

Job Description

HR Administration 

  • Prepare and manage HR documentation including employment letters, status changes, and other employee records  

  • Maintain accurate and up-to-date employee files and HR systems  

  • Support the coordination and tracking of HR processes (e.g., onboarding documentation, policy sign-offs, training completion)  

  • Assist with general administrative support for the People & Culture team as required  

 

Recruitment Coordination (Hourly Roles) 

  • Liaise with hiring managers to support hourly hiring needs  

  • Post and remove job advertisements as requested  

  • Maintain applicant tracking systems and ensure postings are current and accurate  

  • Provide basic coordination support as needed (e.g., interview scheduling when required)  

 

Health & Safety 

  • Coordinate workplace injury and incident reporting, including supporting claims management processes and ensuring timely and accurate documentation  

  • Liaise with internal stakeholders and external partners (e.g., WSIB) to support claims administration and follow-up  

  • Track claims status and maintain organized, up-to-date records to support compliance and reporting  

  • Coordinate and schedule health & safety training sessions, including tracking completion and maintaining training records  

  • Maintain an active role within the Joint Health & Safety Committee, including supporting meeting coordination and documentation  

  • Document audit findings and track corrective actions to ensure timely follow-up and resolution  

  • Support communication and rollout of health & safety programs, policies, and updates to operations teams  

General 

  • Coordinate with other HR team members to ensure tasks and deadlines are met  

  • Support cross-functional HR initiatives and projects as required  

  • Additional duties and responsibilities as assigned  

Qualifications

  • Post-secondary education in Human Resources or related field, or equivalent experience  

  • 1+ year of experience in an administrative role, preferably within HR  

  • Experience supporting health & safety processes (e.g., claims coordination, training tracking) is an asset  

  • Strong organizational skills and attention to detail  

  • Ability to manage multiple priorities and meet deadlines  

  • Comfortable working with HR systems and maintaining data accuracy  

  • Strong interpersonal skills with the ability to build effective working relationships  

  • Experience in hospitality is an asset  

  • Knowledge of Ontario health & safety and public health standards is an asset 

Additional Information

Salary Range: $48,000 - $50,000 plus gratuities
