JOB PURPOSE
Reporting to the Manager, Total Rewards & Disability Management, the HR & Payroll Administrator is responsible for the accurate and timely coordination and processing of payroll tickets and the delivery of day-to-day HR administrative support. The role maintains employee and payroll data integrity, responds to payroll and benefits inquiries, prepares payroll-related reports, ensures compliance with applicable policies and legislation, and provides coordination support across HR programs, onboarding, offboarding, and departmental administration.
KEY DUTIES AND RESPONSIBILITIES
HR Coordination
- Serve as a first point of contact for routine HR inquiries and provide day-to-day administrative support to employees and managers.
- Coordinate recruitment, onboarding, employee lifecycle changes, and offboarding activities, ensuring accurate documentation and timely system updates.
- Maintain accurate HR records, organizational charts, invoices, and other departmental administrative documentation and processes.
- Support internal communications, employee engagement initiatives, and company events in collaboration with internal partners.
- Provide general coordination and administrative support to the Human Resources team as required.
Payroll Coordination
- Review approved timesheets to ensure accuracy and completeness prior to payroll processing.
- Investigate and resolve payroll-related discrepancies with managers, supervisors, and facility representatives.
- Process employee data changes, new hires, and terminations in ADP, ensuring the accuracy and integrity of employee records and payroll data.
- Prepare and distribute payroll and workforce reports, including overtime, leave balances, headcount, and union contribution reports.
- Set up employees in the electronic timekeeping system, monitor approved timesheet submissions, and ensure accurate data transfers between timekeeping and payroll systems.
- Maintain employee files and records, ensuring information is current, accurate, and handled in accordance with confidentiality requirements.
- Administer employee garnishments, including calculations, remittances, and related inquiries.
- Serve as the first point of contact for hourly employees regarding payroll and benefits inquiries.
- Ensure payroll activities comply with applicable employment standards, payroll legislation, company policies, and collective agreement requirements.
- Provide backup support for bi-weekly salaried payroll processing for Canadian and U.S. employees during team absences.
QUALIFICATIONS, SKILLS, AND EDUCATIONAL REQUIREMENTS
- Bachelor’s degree
- A passion to work with and support a collaborative HR team including the flexibility to serve as a backup for various functions within the HR department.
- Strong communication skills and conflict resolutions abilities.
- Strong Excel and reporting skills.
- Experience within a fast-paced, growing organization is an asset.
- Exceptional organization and attention to detail.
- HR or payroll experience is a definite asset.
