Job Description:

Reporting to the Senior Manager, Group Benefits (GB) Sponsorships and Events, the GB Coordinator is responsible for the activation and execution of the Group Benefits (GB) sponsorship activities and events, including planning, coordination and follow-up with the various conference vendors and agencies.  The GB Coordinator will also play a role in overseeing the Group Benefits Sponsorship & Events calendar.

The successful candidate will be pro-active, have excellent organizational skills, ability to work on multiple projects with variety of people across the organization as well as clients and vendors.

What will you do?

  • Point of contact with external vendors and internal communication and enablement staff, handling day-to-day inquiries related to sponsorships and media.   

  • Schedules meetings with the conference vendors to review the critical path and obtain event details.

  • Records all sponsorship deliverables and updates the project file as status of deliverables change. 

  • Responsible for ensuring all deliverables outlined in the critical paths are kept on track

  • Communicates and works closely with the communication and enablement staff to ensure deliverables are completed on time.

  • Schedules and participates in regular sponsorship meetings with marketing staff to review sponsorship deliverables, including capturing minutes and tracking action items.   

  • Manages the coordination of complimentary passes and registration of staff and any clients using the passes.

  • Coordinates the printing of materials for conferences and events, facilitates the delivery of event materials, and acts as the onsite contact when necessary.  

  • Manages the creation and distribution of all post-event surveys sent to attendees, collects and compiles pre and post event metrics and prepares summary reports on each sponsored event.

  • Updates the logo trademark agreement for each sponsored event and works with legal for approval.  

  • Supports the Senior Manager, Sponsorship and Events with tasks related to events such as Client Partnership Council and Advisor Business Council

  • Monitor, maintain and enforce Conference & Event Contingency procedures.

  • Gathers, organizes and stores media kits in an accessible folder for use by the marketing team.

  • Schedules and participates in regular meetings with the communication and enablement staff to ensure timelines are met as it relates to purchased Group Benefits media/advertising. 

  • Acts as liaison with media vendors for inquiries that the marketing staff have as it relates to ad specs etc.

  • Works closely with presenters and ensures they are well prepared for their speaking engagements.

  • Project management of key projects including running meetings, tracking deliverables, capturing post event metrics

  • Liaise with internal partners such as internal Events Services team, Design team, Linguistics and communications.

  • Support ad-hoc projects such as the execution of contest winner communication and administration.

  • Excellent interpersonal and communication skills (verbal and written).

  • Ability to work collaboratively with internal team members and external vendors.

  • Proven ability to work independently with minimal direction and manage timelines without supervision.

  • Detailed and results oriented and ability to respond quickly to new or changing work demands.

  • Advanced PC knowledge including MS Office (Word, Excel, PowerPoint) and ability to learn other software packages.

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
