The Executive Assistant (EA) – Treasury Finance provides high-level administrative, coordination, and light financial support to four senior Treasury leaders and their teams (Funding & Rating Agency Management, Liquidity & Subsidiary Capital Management, Manulife Bank Treasury, and Treasury Trading). Key activities include complex calendar management, expenses and invoices, cost centre and high-level budgeting support, rating agency survey coordination, and select tasks normally handled by senior financial analysts.

You will go beyond traditional administrative work by owning cost centre support, invoice processing and tracking, budgeting support, and administrative elements of financial analysis, while gaining direct exposure to senior decision-making.

Position Responsibilities:
Executive & Team Support
Manage complex calendars for four senior Treasury leaders, including cross-time-zone meetings, prioritization, and conflict resolution.
Coordinate recurring governance and business meetings (e.g., funding and liquidity forums, rating agency meetings, trading reviews, bank governance sessions).
Organize domestic and international travel and prepare related itineraries and documentation.
Prepare, format, and proofread presentations, reports, and briefing packs for internal and external meetings (including rating agencies and bank-specific committees).
Expense, Invoice & Cost Centre Management
Prepare, submit, and reconcile expense reports for supported executives in accordance with policy.
Process and track certain invoices (e.g., rating agencies, service providers, data vendors), ensuring accurate coding and timely payment.
Maintain and monitor cost centres for each executive’s group, ensuring expenses are correctly allocated.
Provide high-level budgeting support (e.g., tracking spend vs. budget, maintaining summary trackers, flagging variances or issues to management).
Rating Agency & Funding Team Administrative Support
Assume selected administrative responsibilities from senior financial analysts to optimize their analytical capacity.
Coordinate and manage systems access for internal and external funding and rating-related tools (e.g., access requests, changes, and deactivations).
Manage the end-to-end process for rating agency surveys:
Distribute surveys to internal subject-matter experts and teams responsible for specific sections.
Track responses, follow up on outstanding items, and consolidate responses where appropriate.
Support quality checks for completeness, consistency, and formatting.
Maintain organized repositories for rating agency correspondence, presentations, and survey responses.
Liquidity, Subsidiary Capital & Manulife Bank Treasury Support
Coordinate meeting materials and distribution for liquidity, capital, and Manulife Bank Treasury discussions (e.g., liquidity reviews, subsidiary capital planning sessions, bank ALCO or equivalent forums).
Support tracking of key deadlines related to reporting cycles, submissions, and internal governance for these teams.
Assist with preparation and formatting of summary reports or dashboards provided to senior management.
Treasury Trading & Operational Support
Support calendar management and logistics for trading-related meetings, market briefings, and governance sessions.
Assist with documentation, approvals, and follow-ups related to trading policies, processes, or initiatives.
Help maintain trading team distribution lists, access lists, and onboarding documentation.
Onboarding, Systems Access & General Administration
Coordinate onboarding for new employees within the supported teams:
Access to systems and applications.
Workspace and equipment coordination (in partnership with relevant functions).
Orientation schedules and introductions to key stakeholders.
Maintain and update org charts, distribution lists, and contact directories across the four groups.
Manage shared drives/Teams sites, ensuring organized filing, version control, and appropriate access.
Required Qualifications:
Education & Experience
Post-secondary education in business administration, finance, accounting, or a related discipline preferred (or equivalent experience).
5 years’ experience as an Executive Assistant or Senior Administrative Assistant, ideally supporting finance, treasury, or capital markets functions.
Experience handling cost centres, invoices, and budgeting support in a corporate or financial services environment is an asset.
Technical Skills
Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word); experience with collaboration tools (e.g., Teams, SharePoint) preferred.
Comfortable working with financial information (expenses, cost centres, simple budget trackers) with strong numerical accuracy.
Ability to create executive-quality presentations and documents with consistent formatting and attention to detail.
Familiarity with financial systems (expense management, vendor invoicing, access management tools) is an asset.

Salary range is expected to be between
$55,125.00 CAD - $91,875.00 CADEmployees also have the opportunity to participate in incentive programs and earn incentive compensation tied to business and individual performance.
