Job Description:

We are seeking a highly capable and resilient Executive Assistant (EA) to provide comprehensive support to a senior global leader in a fast-paced, complex, and demanding environment. This role requires exceptional organizational capability, sound judgment, and the ability to operate with professionalism and composure amid competing priorities.

The successful candidate will act as a trusted partner, managing complexity, enabling executive effectiveness, and ensuring seamless day-to-day operations across a global portfolio. This is an opportunity to play a critical role in enabling the success of a senior global leader and their organization. The role offers high visibility, impact, and the chance to operate at the center of strategic decision-making.

What will you do?

Executive & Calendar Management

  • Own and proactively manage a highly complex, global calendar across multiple time zones

  • Prioritize and sequence meetings to optimize executive time, balancing strategic priorities with operational needs

  • Anticipate scheduling conflicts and resolve them independently with strong stakeholder management

Inbox & Communication Management

  • Manage a high-volume executive inbox, including triaging, drafting responses, and flagging priority items

  • Act as a gatekeeper and facilitator of communication, ensuring timely follow-ups and clear alignment

  • Track key deliverables, decisions, and action items coming out of emails and meetings

Travel & Logistics

  • Coordinate extensive domestic and international travel, including flights, accommodations, visas, and detailed itineraries

  • Manage last-minute changes and disruptions with agility and problem-solving mindset

  • Ensure all travel plans align with business priorities and enable executive productivity while on the road

Stakeholder Coordination

  • Interface regularly with senior leaders, internal partners, and external stakeholders

  • Build strong working relationships to facilitate efficient scheduling, decision-making, and information flow

  • Support preparation for key meetings, including materials coordination and briefing notes when required

In-Person Support

  • Provide an in-office presence at the Toronto (TY) location approximately 3 days per week

  • Offer on-site support when the executive is in office, ensuring smooth day-to-day operations

  • Coordinate logistics for in-person meetings, including room bookings and on-site readiness

  • Exceptional calendar and inbox management skills, with strong attention to detail and prioritization

  • Demonstrated ability to manage high-volume, time-sensitive work with professionalism

  • Strong judgment, discretion, and ability to handle sensitive information

  • Highly proactive, resourceful, and solutions-oriented

Working Model

  • Hybrid role with ~3 days per week in-office (Toronto)
