Job Description:
Sun Life is seeking a talented individual to fill the role of Executive Assistant to provide high-quality administrative support to the SVP, Performance, Rewards, and HR Enterprise Functions and additional senior leaders within the HR Enterprise Functions area of Global Human Resources, specifically: three AVP, HRBPs, AVP, Talent Strategy Partner, and AVP, Employee Relations Enterprise. The successful candidate will be proactive, collaborative, reliable and a creative thinker with the ability to handle a variety of responsibilities. The role is fast paced with multiple demands and requires judgement, clear communication, and a demonstrated regard for confidentiality.
What will you do?
Manages all aspects of the SVP’s calendar and key aspects of senior leaders’ calendars to ensure meetings are prioritized with internal and external participants. Includes scheduling complex meetings, timely flagging of changes or conflicts, ensuring appropriate time in between meetings, and confirming whether meetings are virtual or in-person
Partner with the team and other Executive Assistants to schedule key meetings with senior management participation such as multiple executive team members. Requires close collaboration with the Executive Assistant to the EVP & CPCO
Screen and manage meeting requests with tact and diplomacy to identify issues and determine priority using judgment, sensitivity, and confidentiality
Identify and pro-actively manage conflicting demands, coordinate with other EAs
Plan and execute events organized by the SVP and senior leaders, including townhalls, functional events while supporting content, attendees, facilities, presenters, surveys etc.
Liaise with internal partners such as Internal Conference Services, Linguistics, Communications, Procurement, etc.
Help manage the email inbox for the SVP (i.e., flagging messages requiring immediate attention, booking time to address review requests as appropriate, creating a daily summary of key messages\requests, deleting junk mail or unnecessary emails, filing messages based on our agreed upon approach)
Proactively sharing status of requests of the SVP and senior leaders
Coordinate travel arrangements and manage and prepare expense reports for the SVP and senior leaders. Support purchasing activities for the broader team
Collaborate with vendor management and finance to set up new vendors, manage Master Service Agreements (MSA) and Statements of Work (SOW) and process invoices in a timely manner
Support on-boarding of new employees of SVP and senior leaders
Provide coverage for other EA's during vacation time/absence and support the community of practice between all Executive Assistants within the HR function. Works very closely with and provides back-up for the EA for the EVP & CPCO and the EA for Total Rewards
May perform other administrative duties and ad hoc requests as required
What do you need to succeed?
A minimum of 3-5 years experience working as an Executive Assistant supporting senior leaders
Significant experience dealing with very senior executives and external stakeholders
Significant experience working confidential materials (memorandums, presentations, email communication)
Excellent verbal and written communication skills and ability to communicate effectively at all levels of the organization
Advanced knowledge of collaboration tools such as SharePoint, Teams and other collaboration platforms
An individual that can work in a fast-paced environment and with a high degree of efficiency
A team player with strong interpersonal skills and ability to interact with team members across regions
Excellent organizational skills, ability to make decisions and manage competing priorities
Demonstrates accuracy and thoroughness in day-to-day activities
A self-starter, ability to learn quickly and a pro-active individual
Exercise discretion and always maintain confidentiality
Sun Life experience an asset

Occasional overtime, ability to work flexible hours with minimal notice and or travel between locations may be required on rare occasions

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors.
