Who You Will Work With:  

 

The vacant Senior Executive Assistant role will report to the Group Head, Product and be responsible for the day-to-day activities critical to building stakeholder confidence and upholding the standards of operating responsibly. We are looking for an organized, efficient self-starter with the ability to effectively prioritize and operate in a fast-paced, ambiguous environment. You are a masterful problem-solver, enjoy being highly organized and have exceptional communication skills across all mediums. You also have an excellent ability to build and maintain business relationships and help drive accountability.  

What You Will Do:

  • Calendar & Meeting Coordination: Manage the Group Head’s calendar, ensuring optimal scheduling for  Product reviews, cross-functional team meetings, and executive discussions. Anticipate needs and proactively adjust schedules in a fast-paced environment. 

  • Decision Support: Track key milestones for the Group Head to ensure that they are briefed on upcoming deadlines and decisions and help maintain the timing of routine meetings. 

  • Stakeholder Management: Act as a liaison between the Group Head, Senior Leadership,  teams, and external stakeholders (partners, vendors, clients) to ensure smooth communication and alignment across initiatives. 

  • Documentation & Presentations: Assist in preparing detailed documentation, decks for strategy meetings, investor presentations, and internal reports. Ensure communications are clear and well-organized. 

  • Event & Meeting Planning: Organize internal team meetings, external meetings and/ presentations, and industry events. Coordinate logistics, prepare agendas, and follow up on action items. 

  • Data & Metrics Tracking: Support the Group Head by tracking metrics, gathering feedback and generating reports to inform decisions. Manage key data and insights for easy reference and strategic planning. 

  • Communication & Correspondence: Handle day-to-day correspondence on behalf of the Group Head, including mass emails, meeting requests, and follow-ups. Ensure that communications are timely, professional, and reflect the Interac’s objectives. 

  • Travel & Expense Management: Arrange travel for the Group Head, manage budgets, and process expense reports. 

  • Proactive Problem-Solving: Anticipate the needs of the executive and organization, identifying and solving potential issues before they arise.  

  • Strategic Support: Provide high-level assistance in business decision-making by preparing for and participating in strategy sessions, contributing insights to key business initiatives.  

  • Confidentiality and Discretion: Handle sensitive information and high-level communications with utmost confidentiality and professionalism.  

  • Tech-Savvy: Proficiency in executive scheduling tools, data management systems, alongside advanced MS Office skills.  

  • Strong Written and Verbal Communication: Excel in corporate communication, with the ability to represent the executive effectively in all internal and external correspondence. -  

  • Cultural Fit and Representation: Embody and promote the company’s values, acting as an ambassador for the executive within the organization and externally. 

  • Adaptability: Thrive in a fast-paced, product-driven company where priorities may shift rapidly, requiring quick thinking and flexibility. 

What You Bring:

  • A minimum of 10+ years as an executive assistant/administrator and/or Business Manager to an executive. 

  • Strong analytical and problem-solving skills and an ability to present clear, concise, and effective solutions.  

  • Critical thinking and rely on experience and judgment to plan and accomplish goals. 

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). 

  • Proficiency in project management tools (Asana and Jira) with ability to manage both day-to-day tasks and long-term strategic projects (all hands, product demos), ensuring smooth coordination and timely execution. 

  • Strong communication skills, both verbal and written, with the ability to collaborate and build relationships with key stakeholders. 

  • Ability to quickly learn and understand complex product-related terminology, features, and roadmaps. 

  • Meticulous attention-to-detail and excellent time management and organizational skills. 

  • Expertise in social media and collaboration tools like LinkedIn. 

  • The ability to handle stressful situations with measured calmness and decisiveness. 

  • Exceptional common sense, maturity, discretion, and the ability to maintain confidentiality. 

  • Ability to remain calm under pressure and make quick, effective decisions in high-stress or urgent situations, ensuring seamless operations during unexpected challenges.

The hiring range for this position is $90,000 to $100,000, and you will also be eligible for our short-term incentive plan. The exact amount will depend on factors such as skills, experience, and job-related knowledge, but Interac’s commitment goes beyond compensation.
