You will act as an Executive Assistant to Senior Executives for their day to day operations and management of the business, proactively creating capacity by adapting effective workflow systems and processes in a self-managing environment on a timely and accurate basis. You will serve as the first point of contact, controlling activities to ensure they are organized and prioritized to maintain focus on implementation of strategies, and disciplines to achieve the business strategic direction with utmost integrity. 

 

Responsibilities  

 

  • Provides executive assistance to the Senior Executives. This involves diversified and extremely confidential information are dealt with a high degree of accuracy. You will be involved with complex duties of an executive administrative nature relating to the daily routine and relationship management. 

  • Ensures Executives’ needs are proactively identified and provide required information/pre-read documents to complete duties. 

  • Reviews inbox of the Executive and handles/refers issues of an urgent nature. 

  • Manages and maintains their calendars. 

  • Manages travel arrangements, ensures necessary tickets and itineraries are received in ample time to departure, and that required correspondence, documentation are prepared and available for Executives. 

  • Manages the business expenses ensuring submissions are presented for approval when required, submits quarterly executive recap. 

  • Responsible for ensuring suitable meeting rooms are selected and manages the logistics e.g. room arrangements, attendance, invitations, audio visual and electronic equipment, catering needs, etc. 

  • Coordinates incoming and outgoing mail with discretion and confidentiality. 

  • Understands and accepts change as it relates to the role. 

  • All other duties as assigned. 

  • Take on Ad-hoc projects as and when required. 

 

Qualifications 

 

  • A self-starter with a high degree of initiative and a can-do attitude. 

  • Must possess a high level of administrative/organization, as well as interpersonal and communication skills. 

  • Effective communication skills - written and oral. 

  • Service-oriented attitude - team player. Strong interpersonal relationship skills in working effectively with various levels of staff including executives and senior management.

  • Ability to multi-task and prioritize workload to meet deadlines 

  • Ability to work efficiently and accurately with minimal supervision 

  • Strong problem solving skills and resourceful in working with others. 

  • Strong technical competence in MS Excel and Power Point. 

  • High degree of client focus. 

  • Passion for modern technology. 

  • Must have experience in building reports and analysis.
