Reports to: Executive Director, FM-PRO Operations
Salary Range: $63,549 - $79,436 annually 
Hours: 37.5 hours per week
Shifts: Mon-Fri (8:00am - 4:00pm)
Status: Permanent Full-time
Closing Date: July 16, 2026

Position Summary
The Coordinator- Administrative/ Recruitment plays a key role in supporting the hiring process and centralizing the administrative functions related to recruitment and onboarding for the Managers and Directors in FMPRO Operations, including Environmental Services, Patient Transportation, Facilities, and Nutrition Services. By coordinating candidate communications, managing recruitment logistics and streamlining administrative tasks, the coordinator contributes to attracting top talent essential to UHN's purpose and values. In this role the coordinator will perform the following tasks:

Duties

  • Screen resumes to identify quality candidates for various unionized and non-unionized roles
  • Conduct phone screening and reference checks using Access Software database
  • Schedule and confirm interviews with candidates and hiring managers
  • Prepare interview itineraries, materials, and book rooms as needed
  • Conduct in-person interviews with hiring managers across various sites.
  • Serve as the main point of contact for candidates throughout the recruitment process, scheduling interviews, and providing updates
  • Maintain accurate records in UHN's applicant tracking system (ATS) and update candidate statuses
  • Handle routine administrative tasks such as email correspondence, filing, and updating calendars

Qualifications

  • At minimum, completion of a Bachelor's Degree in Human Resources Management, Business Administration, or a related field.
  • 1-2 years of experience in recruitment coordination, administrative support, or human resources.
  • Basic understanding of recruitment and hiring best practices, including legal and compliance standards, diversity, and inclusion practices.
  • Familiarity with applicant tracking systems (ATS) as well as experience working in a healthcare or large organization setting is preferred.
  • Strong time management skills.
  • Effective organizational and communication skills, with the ability to interact professionally with stakeholders.
  • Excellent computer skills, including proficiency in Microsoft Word, PowerPoint, Excel, and Outlook.
  • Ability to perform duties professionally and courteously, delivering high-quality work while meeting deadlines.
  • Ability to exercise initiative, good judgment, and multitask effectively.
  • Adherence to confidentiality requirements.
  • Ability to work under pressure and attend to details.
  • Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines in accordance with UHN standards
  • Client service-oriented, with the ability to work effectively with diverse groups and appreciate that differing opinions, backgrounds, and characteristics enhance the richness of any challenge or situation.
  • Ability to perform multiple concurrent tasks
  • Knowledge of applicable legislative, UHN and/or departmental policies
