Additionally, Fox Group Canada is significantly expanding its business portfolio in Canada, and the role of the CEO Assistant and Office Manager is pivotal in leading the future of Retailors within the company.

We are looking for an experienced CEO Assistant and Office Manager, to join our team! This position will report directly to CEO, Retailors Canada.

We are looking for a highly intuitive individual who brings a strong proactive approach and thrives in a fast-paced environment. This individual must be able to anticipate the needs of the CEO, executives, and the company. The right candidate will need to have an understand of the bigger picture and growth for Retailors. They will closely with a dynamic, high-performing team members who are adaptable and resilient. This individual must maintain high level of confidentiality and ethics.


Job Responsibilities include (but are not limited to) the following:  

  • Manage and maintain the CEO’s calendar, appointments, expenses, and travel arrangements.
  • Coordinate meetings for the CEO, including scheduling, agenda preparation, minute-taking, and timely follow-up on action items.
  • Screen, prioritize, and manage communications on behalf of the CEO, ensuring appropriate follow-up and response.
  • Prepare correspondence, presentations, briefing materials, and administrative documents to support the CEO’s meetings and engagements.
  • Facilitate communication between the CEO and internal stakeholders, Board members, business partners, and clients, ensuring the timely flow of information and follow-up on requests.
  • Maintain confidential records, documents, and administrative information with accuracy and discretion.
  • Provide administrative coordination and follow-up support for projects and initiatives assigned by the CEO, including scheduling, document preparation, and stakeholder communication.
  • Organize and maintain CEO travel schedules, store visit trackers, and related reporting documentation.
  • Manage Head Office calendars, meeting room bookings, and coordination of shared office resources.
  • Oversee the day-to-day administration of the Head Office to support an efficient and professional working environment.
  • Manage office supplies, equipment, service providers, and facility-related requirements.
  • Organize company meetings, events, town halls, and team engagement activities.
  • Act as the first point of contact for office visitors, couriers, and deliveries.
  • Monitor and administer office-related expenditure budgets and purchasing activities in line with company policies.
  • Coordinate with internal and external service providers to facilitate office support functions, including IT, HR, facilities, and operational requirements.

Qualifications:

  • Bachelor’s degree or equivalent experience.
  • 3-5 years of experience as an Executive Assistant, Office Manager, or similar role; retail industry experience is a plus.
  • Exceptional organizational, communication, and time management skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello).
  • Ability to multitask and prioritize in a fast-paced environment.
  • High level of professionalism, discretion, and judgment.
  • Strong interpersonal skills and a positive, proactive attitude.

Preferred Qualifications:

  • Experience working directly with C-suite executives.
  • Familiarity with retail operations and terminology.
  • Experience with budgeting, vendor contracts, and expense reporting.
  • Hebrew Speaker is an asset

Work location:

  • Office – Toronto, Yorkdale.
  • Some travel may be required.

Pay range: $60,000 - $80,000
