About the Team:

Do you want to work in a fast-paced, intellectually challenging environment? The Private Capital Team invests across a typical company’s capital structure and investment stages, operating complementary investment groups in private equity, venture capital, infrastructure assets, private debt, and mortgage debt. Purpose of the Role:

The Administrative Coordinator, Private Capital is a core part of a newly established Business Management team focused on establishing and driving operational excellence to support the growth of Private Capital. With your keen attention to detail, drive for excellence, pride in responsiveness and critical thinking, you’ll offer accurate and efficient administrative support and project coordination to Private Capital Leadership and the Head of Business Management.

In this role, you have the unique opportunity to support across all verticals within Private Capital and engage with key partners inside and outside of Nicola Wealth. This is an exciting role that will grow and evolve with the needs of the business.

Core Responsibilities:

Optimize Meeting Effectiveness:

  • Coordinate and schedule meetings, including preparing and distributing agendas and materials in advance and timely follow-up on key decisions and action items.
  • Provide comprehensive administrative support, including calendar and expense management for the Head of Private Capital and Vice Chair of Private Capital.
  • Organize and manage logistics and scheduling for team offsite meetings, including venue selection, accommodation arrangements, and event planning to ensure seamless execution.

Ensure Operations and Project Success:

  • Develop, maintain, and monitor various internal plans and schedules, ensuring all tasks are completed accurately and on time with stakeholder agreement
  • Track and report on progress with respect to various Private Capital initiatives, identifying and addressing potential delays and project changes to meet critical deadlines.
  • Organize, attend, and facilitate stakeholder meetings, capturing key insights and ensuring follow-through on action items.
  • Coordinate presentations and initiatives for the senior leadership team.

Deliver Strategic Support:

  • Conduct in-depth research and create comprehensive reports and impactful PowerPoint presentations to support key business initiatives.
  • Compose and manage complex and confidential correspondence, ensuring clarity, professionalism, and discretion.
  • Provide high-level administrative support to Portfolio Managers and Directors of Private Capital, enabling them to focus on strategic priorities.
  • Other relevant and related responsibilities, as assigned and as the needs of the organization change.

Required Skills & Qualifications:

  • Exceptional organization skills. The ability to manage a high-volume workload, develop and monitor plans, organize and prioritize multiple deliverables, ensuring timely completion to meet deadlines.
  • Exceptional focus on quality, producing work with a high degree of accuracy and attention to detail.
  • Excellent interpersonal and relationship management skills. A service mindset with the ability to maintain professionalism and effective collaboration under pressure.
  • Independently motivated. You excel in a dynamic and fast-paced, deadline driven environment with the ability to take on tasks and duties without immediate direction.
  • Excellent verbal and written communication skills.
  • Excellent MS office skills. Word, Excel, PowerPoint and Outlook.

Additional Skills & Qualifications:

  • A minimum of 5 years of related work experience in professional services, preferably in a financial services.
  • Completion of a bachelor’s degree or BBA is considered an asset, but not required.
  • Ability to identify and adjust to changing needs quickly, updating priorities.
  • Proactive problem-solving. Ability to anticipate and resolve challenges swiftly.
  • You are legally eligible to work in Canada for any employer.

Compensation & Benefits Package:

This position comes with a base salary range of $58,000 - $70,000 plus a competitive performance bonus and participation in our profit-sharing program. Base salary will be commensurate with experience, skills, and qualifications.
