Administrative Assistant

Position Overview
The Administrative Assistant, Talent Payments is a key administrative position with general office duties that require analytical thinking and problem-solving skills, an aptitude for numbers, multi-tasking, and excellent communication skills, and attention to detail.
The Administrative Assistant is responsible for the initial process by which the performer contracts and commercial reporting is prepared and coded for payment; additional supportive functions, including but not limited to cross-referencing performer and information, confirming GST/HST documentation and the acting union(s) membership (i.e., ACTRA, Union des Artistes (UDA), AFM/CFM, SAG/AFTRA). The Administrative Assistant works closely with fellow team members and Account Managers and works with a specific roster of clients.
The ideal candidate is an enthusiastic self-starter with initiative and a proactive approach to responsibilities and working with clients and colleagues. Extreme attention to detail and accuracy are required for success in this role. Discretion in handling company and client information is required, along with professional ethics, appearance, and conduct. Duties and responsibilities are listed, but not limited to the following:
Core Responsibilities
- Receives, logs and codes performer union contracts, work permits, and residual reporting forms for payment
- Cross-references, and researches performer’s information from the contract, and confirms it in the payment system.
- Corresponds with performers and talent agencies to collect and correct any misinformation
- Works with Account Managers, and Sr. Account Managers to address and handles additional administrative requirements
- Ensures that the quality of information is maintained in the payment system and may work on specific projects to improve information for annual tax documentation (e.g., T4As)
- Participates in bi-weekly meetings to communicate and bring to light any issues that may require further attention, willingly participates in identifying and improving systems and processes.

- Basic office skills and abilities, – computers, phones, fax equipment, copiers, etc.
- Good interpersonal skills - interaction with clients, colleagues, and management.
- Excellent oral and written communication skills in English.
- Quick learner.
- Organizational skills.
- Attention to detail and analytical skills.
- French bilingualism preferred
- Flexibility and multi-tasking abilities.
- Ability to work well under pressure.
Preferred Qualifications
- Minimum typing/keyboarding of 30 words per minute.
- Basic PC Computer skills including Outlook, Word and Excel, and ability and willingness to learn new and/or proprietary computer applications as required.

- Sedentary – Involves sitting most of the time but may involve walking or standing for brief periods of time. Some positions may entail exerting up to 15 lbs. of force occasionally and/or a negligible amount of force to lift, carry, push, or pull.
Compensation is commensurate with various factors including, but not limited to, relevant experience, qualifications, skills, training, licensure, certifications, geographic cost of labor, and other business and organizational needs. Compensation range for candidates in other locations may differ based on the cost of labor in that location.
The compensation range for this position is:
$23—$25 CAD
