Job Description

Department:  Infection Prevention and Control
Reports to:  Post Acute Care IPAC Manager
Salary Range:  $25.56 to $31.95 hourly
Hours: 30 hours per week
Status: Permanent Part-Time
Closing Date: October 19, 2026

Position Summary 

The successful candidate will support day-to-day departmental operations through effective office administration, communication, document and data management, calendar coordination, meeting support and collaboration with internal and external contacts. 

Duties

  • Provides administrative support to the IPAC department. 
  • Follows established departmental procedures and works within defined deadlines. 
  • Orders office supplies and verifies deliveries.
  • Coordinates office repairs and service requests.
  • Maintains departmental filing systems and records. 
  • Answers, screens, and prioritizes telephone calls and emails. 
  • Maintains confidentiality when handling departmental and patient information. 
  • Enters and maintains information in databases and spreadsheets. 
  • Coordinates departmental meetings, including room bookings and meeting logistics. 
  • Prepares and distributes meeting agendas and supporting materials.
  • Records meeting minutes and follows up on action items. 
  • Coordinates onsite events, including registration, catering and technology requirements. 
  • Independently manages calendars and schedules. 
  • Supports effective day-to-day office operations through strong organizational, communication, and coordination skills.

Qualifications

  • Community College Diploma in General Office Administration or Medical Office Administration required. 
  • Minimum two years of relevant administrative experience required. 
  • Demonstrated ability to manage multiple priorities with accuracy, attention to detail and sound judgment. 
  • Excellent written and verbal communication skills. 
  • Demonstrated ability to explain and interpret departmental policies and procedures. 
  • Strong organizational, document preparation, calendar management and database maintenance skills. 
  • Proficiency with office software used to prepare correspondence, presentations, handouts, mail merges and departmental records. 
  • Experience with managing payroll functions 
  • Demonstrated discretion in handling confidential departmental or patient information. 
  • Ability to work independently and collaboratively with staff, professional teams and management. 
  • Ability to communicate professionally with members of the public, colleagues and contacts across departments. 
  • Ability to provide guidance and coordinate work activities for junior clerical staff, when required.
