We're looking for a Workplace Experience Specialist to own our Toronto hub. This role combines operational leadership with strategic project management. You’ll run day-to-day office operations and lead the coordination of our expansion into a new floor.
You’ll be the only workplace lead in Toronto. This requires independence, sound judgment, and the ability to manage daily execution while planning several months ahead.

This role is 70% operational excellence and 30% strategic project leadership.
You will ensure our office runs smoothly today — and scale it thoughtfully for tomorrow.
Office OperationsEnsure the office is fully operational each day (supplies, equipment, cleanliness, access)
Manage visitor experience and door coverage (expect frequent daily interruptions)
Coordinate weekly lunches and office services
Triage office requests through the ticketing system
Partner directly with building management and vendors
Maintain operational systems that reduce reactive work over time
Operations always come first, even during expansion.
Budget & Vendor ManagementOwn the monthly Toronto office budget
Negotiate and manage vendor contracts
Identify cost efficiencies where appropriate
Submit accurate and timely budget reporting
Maintain strong vendor and building management relationships
We are expanding into a new floor. You will lead operational coordination for this buildout.
Act as project manager for the office expansion
Coordinate contractors, electricians, building management, and internal stakeholders
Track timelines, budgets, and dependencies
Provide clear updates to leadership and the Toronto team
Anticipate operational needs as the space grows
Balance buildout demands while maintaining daily office operations
This role requires stakeholder management, negotiation skills, and the ability to manage multiple workstreams at once.
AI-Enabled OperationsHomebase is an AI-first company. AI fluency is required in every role.
In this position, you will:
Use AI tools to streamline workflows (vendor research, budget tracking, project planning, documentation)
Identify repetitive operational processes and improve them using AI
Deliver at least one measurable workflow improvement within your first quarter
🚀 The Foundation for Success - These are the experiences and strengths that will set you up for success in this role:
3–5+ years in workplace experience, facilities, operations, hospitality, or similar roles
Demonstrated project management experience (office buildout or expansion preferred)
Experience managing contractors and external stakeholders
Budget ownership and vendor management experience
Strong written and verbal communication skills
Ability to operate independently without close supervision
Strategic thinking — able to plan 3–6 months ahead
Reliable Monday–Friday in-office presence (Toronto hub)
Active experimentation with AI tools in your work
Prior experience leading office relocations or buildouts
Experience in a fast-paced or high-growth environment
