The Role

We are seeking a detail-oriented and analytical Workforce Planner to support our HR Consultancy department in a fast-paced, service-driven environment. This role plays a key part in ensuring optimal staffing levels, maintaining service quality, and enabling data-led decision-making across the business.

The ideal candidate brings strong experience in workforce planning, reporting, and operational analysis, with a passion for process efficiency, accuracy, and service excellence. This is an office-based role. This is an existing vacancy.

Key Responsibilities 

  • Analyze workforce and operational data to identify trends, coverage gaps, and opportunities for improvement
  • Design, automate, and maintain operational reports tracking productivity, SLA adherence, and capacity planning
  • Develop short- and long-term staffing forecasts based on historical data, demand patterns, and business priorities
  • Monitor real-time workflows to ensure service levels are maintained across all client communication channels
  • Provide clear, data-driven insights and recommendations to senior leadership
  • Partner with department leaders across Service teams to align staffing plans with service objectives and client demand
  • Support schedule optimization by identifying over- and under-staffed intervals and recommending adjustments
  • Maintain workforce planning tools, databases, and reporting systems with a high level of accuracy
  • Contribute to continuous improvement initiatives by identifying operational inefficiencies and proposing solutions
  • Respond to internal requests related to workflow trends, capacity analysis, and reporting metrics as required

Education & Experience

  • 3+ years of experience in workforce planning, reporting, or a related operational role
  • Experience in a high-volume call centre or service-based environment
  • Post-secondary education in Business, Analytics, or a related field
  • Advanced Excel skills and experience with data visualization tools (e.g., Power BI, SQL)
  • Ability to manage competing priorities and work effectively under tight deadlines
  • Experience with workforce management systems and CRM platforms (e.g., Salesforce, NICE, Genesys) is considered an asset
