Manage end-to-end interview scheduling and candidate communication, maintain ATS accuracy, draft job postings, compile recruiting metrics, support onboarding and compliance, assist sourcing, and improve talent processes and tooling while partnering with hiring managers and People Ops.
Air is a Creative Ops System for creative teams. Our product automates the mindless tasks that creatives and marketers do every day to manage content and unlocks creativity through image recognition, automated versioning, and approval workflows. This role requires in-office attendance at least 3 days/week in Toronto.
As a Talent Operations Specialist, you'll own end-to-end talent coordination for Air, reporting directly to our Talent Manager. You’ll work with Talent, People Ops and hiring managers to keep every recruitment cycle moving smoothly. You'll be the person who makes sure interviews get scheduled, our processes and tooling is top notch, and our hiring data tells a clear story — while also owning day-to-day talent work that keeps the broader function running.
Talent Coordination
- Own interview scheduling and coordination across the full recruitment cycle, partnering with the Talent Lead and hiring managers to keep candidates moving without delays or drop-offs.
- Be the point of contact for candidates throughout the interview process, keeping them informed on timing, logistics, and next steps to ensure a strong candidate experience.
- Identify friction in our talent process and tooling, and propose concrete improvements rather than waiting to be asked.
Talent Tooling & Analytics
- Own our ATS, keeping it accurate and up to date as the single source of truth for every requisition.
- Draft and maintain job postings across our careers page and external job boards.
- Compile recruiting metrics and pull together data analyses that help us understand what's working in our hiring process and what isn't.
Talent Support
- Support compliance tasks and onboarding logistics so new hires have a smooth, well-documented start.
- Contribute to talent branding and collateral, including our careers page and candidate-facing documentation.
- Support sourcing efforts as needed, helping build pipeline for open roles.
- Build strong stakeholder relationships across departments.
- 1+ years in a people, talent, HR, project management or administrative role.
- Organized and detail-oriented; you can juggle multiple interview loops and open reqs at once without letting anything slip.
- Clear, professional communicator; you can coordinate a multi-stakeholder interview loop and follow up with everyone involved in the same day.
- Proactive by nature; you notice what's broken or inefficient and suggest fixes without being prompted.
- (Nice to have) Comfortable working with data — pulling metrics together and turning them into something a hiring manager or leader can actually use.
- (Nice to have) Familiarity with GSuite, Notion, and AI tooling — bonus points if you're already using AI tools to work faster and smarter.
