About the Role:
The Talent Operations Coordinator provides comprehensive administrative and operational support across the full employee lifecycle, including recruitment, onboarding, Talent data management, compliance tracking and employee engagement. This role ensures accurate and timely execution of Talent processes while maintaining data integrity, legal compliance and consistent communication with internal stakeholders. The Talent Operations Coordinator also contributes to continuous process improvement and supports cross-functional projects within the broader Talent function.
This is a 12-14 month limited term position to cover a leave of absence. The role is hybrid with 3 days per week (Tues/Wed/Thurs) required in our Toronto office.
What You'll Be Doing:
Recruitment and Onboarding Support
Coordinate end-to-end recruitment processes for a region, supporting all stages from initial planning through to onboarding and offboarding.
Prepare and manage onboarding and offboarding documentation and processes, ensuring that background checks and employee records are verified, complete and compliant with regional employment standards.
Track mandatory employee training and compliance requirements, ensuring completion and documentation are updated accordingly.
Employee Lifecycle Administration
Maintain accurate Talent data in Workday, ensuring that employee and contractor electronic files are kept up-to-date
Manage Talent inboxes and service tickets, providing timely responses and escalating issues where appropriate.
Issue employment verification and service confirmation letters, ensuring accuracy and adherence to legal/employment standards.
Talent Systems, Reporting, and Compliance
Stay informed of legislative and employment standard changes across jurisdictions and apply updates to Talent processes and documentation accordingly.
Facilitate benefits enrollment and provide payroll input for employees in various regions, coordinating with internal teams and external providers.
Project & Process Improvement
Participate in Global Talent initiatives and special projects, providing regional support and input to broader Talent strategies.
Collaborate with regional Talent colleagues and internal stakeholders to align practices, share best practices, and support change management activities.
Desired Skills & Experience:
Post-secondary education in Human Resources, Business Administration, or a related field.
Foundational understanding of employment laws and HR best practices, with the ability to apply them in day-to-day responsibilities.
1–2 years of administrative experience.
Experience supporting core HR functions such as recruitment, onboarding, or general HR administration.
Proven ability to manage multiple priorities and meet deadlines while maintaining accuracy and attention to detail.
Experience working in a global or multi-regional organization is considered an asset.
Proficient in Microsoft Office or Google Suite for communication, documentation, and tracking tasks.
Familiarity with HRIS platforms (e.g., Workday), with the ability to navigate digital systems for data entry, reporting, and records management.
Capable of generating and maintaining reports using internal systems and HR tools.
Strong interpersonal skills, with the ability to communicate professionally and effectively across various levels of the organization.
Excellent written and verbal communication skills in English, with attention to clarity, tone, and professionalism.
Demonstrated ability to handle sensitive and confidential information with discretion and sound judgment.
Self-motivated and proactive, with a continuous improvement mindset and a drive to enhance processes and workflows.
Resilient and adaptable, able to stay organized and focused under pressure and in changing environments.
Additional Information:
Base Salary Hiring Range: $43,000 - $60,000 CAD annually
Final salary offered will fall within the posted salary range and will vary based on the candidate’s skills, experience and qualifications.
