About the Role
We’re looking for a detail-oriented and analytical Senior Payroll Specialist to join our team as Senior Payroll Specialist. In this role, you will play a critical role in the accurate, compliant, and timely processing of payroll across multiple jurisdictions. You will oversee end-to-end U.S. and Canadian payroll operations, ensure adherence to statutory and internal control requirements, and support cross-functional partners with deep subject matter expertise. You will lead complex payroll activities, support payroll system enhancements, reconcile payroll-related financials, and act as a key resource for audits and compliance initiatives. You will also stay current with evolving payroll legislation and best practices across the U.S., Canada, and global regions to ensure accuracy, compliance, and operational excellence.
What You’ll Do
- Lead end-to-end processing of bi-weekly and semi-monthly payroll cycles for U.S. and Canadian employees, ensuring accuracy, timeliness, and compliance with relevant federal, state/provincial, and local regulations.
- Validate payroll inputs, deductions, earnings, and special payments including bonuses, commissions, retroactive adjustments, and taxable benefits.
- Review, audit, and reconcile payroll results prior to final submission, ensuring adherence to internal controls and SOX compliance standards.
- Support global payroll delivery for international locations through coordination with third-party payroll providers.
- Assist with expatriate payroll requirements including shadow payroll, tax withholding adjustments, and coordination with mobility program stakeholders.
- Maintain comprehensive knowledge of legislation including U.S. FLSA, IRS regulations, provincial employment standards, CRA requirements, statutory remittances, and year-end reporting obligations.
- Prepare, audit, and support annual activities such as W-2s, T4s, and other year-end employer filings.
- Partner with HR Technology and People Services teams to support payroll system updates, testing, configuration changes, and user acceptance testing.
- Perform complex payroll reconciliations including general ledger review, payroll funding, benefits/tax remittance validation, and support internal and external audits.
Basic Qualifications
- 5–8 years of progressive experience in payroll administration with strong expertise in U.S. and Canadian payroll.
- Strong working knowledge of payroll legislation including FLSA, IRS regulations, provincial employment standards, CRA rules, wage garnishments, taxable benefits, and statutory reporting.
- Proven experience preparing payroll reports, reconciliations, and audit documentation.
- Demonstrated proficiency with payroll systems, HRIS platforms, and Microsoft Office (Excel and PowerPoint).
- Excellent problem-solving, analytical, and communication skills with the ability to operate in a fast-paced, multi-priority environment.
- Ability to work both independently and collaboratively while delivering high-quality results.
Preferred Qualifications
- Education: College/University degree preferred.
- Preferred experience supporting global payroll and shadow payroll for expatriate employees.
- Preferred experience with Workday in-house payroll.
- Strong customer service orientation and proven ability to partner effectively with internal stakeholders and external vendors.
Location: Toronto Office
The hiring base salary range for this position is $85,500-108,300 CAD annually. Actual compensation within this range will be dependent upon the individual’s knowledge, skills, experience, equity with other team members, and alignment with market data. Please note that the disclosed salary range is solely for candidates hired to perform work within this geographic location. Candidates hired to work in other locations will be subject to the pay range associated with that location.
