As a Counter Administrator, you will be the first point of contact for shareholders, brokers, and visitors arriving at our Vancouver office. A role you will love
As a Counter Administrator, you’ll support a wide range of shareholder and broker inquiries at our service counter. You’ll communicate helpful, clear, and concise information to internal and external clients in a friendly and professional manner while maintaining strict confidentiality.
You will screen incoming submissions to ensure they meet all accuracy and completeness requirements, including legal and supporting documentation (e.g., transfers, estates, corporate actions, dividend reinvestment and more). You’ll help resolve any submission deficiencies by guiding customers through the correct process and ensuring documents reach the appropriate internal teams for processing or scanning.
In this role, you will:
- Welcome and support clients at our service counter, offering knowledgeable guidance and a professional experience.
- Review and validate incoming submissions according to processing guidelines.
- Communicate deficiencies and provide clear next steps to clients and presenters.
- Ensure documentation is transferred to the correct internal teams in a timely manner.
- Organize and prioritize daily workload to maintain service standards.
- Cross-train across various operational processes and maintain up‑to‑date knowledge of changes in policies and procedures.
- Contribute to high-quality client outcomes by ensuring accuracy, timeliness, and adherence to service levels.
- Every interaction you have will directly impact the customer experience — and the quality of work you support contributes to the success of the wider operational teams.
What will you bring to the role

Essential skills and experience:
- Strong communication skills – able to provide clear, friendly, and professional verbal and written support.
- Strong attention to detail, with the ability to assess documentation for accuracy and completeness.
- Ability to organize and prioritise work in a busy, front‑line environment.
- A team player who can also work independently to meet deadlines and service expectations.
- Comfortable using Microsoft Office tools, particularly Word, Excel and SharePoint.
Preferred skills and experience:
- 2–3 years of customer service experience.
- 1 year of experience in financial or securities services.
- Knowledge of the Canadian securities industry or stock transfer is an asset.
- Completion of the Canadian Securities Course and/or Trust Institute course (optional but beneficial).
Education:
- Post‑secondary education required.

Compensation. The typical base pay range for this role is $48k - $52k.
