This position will be 4 days a week in our Toronto office (181 Bay Street), Mondays to Thursdays and Fridays are work from home. You will play a critical role in aligning legal operations with the broader goals of the organization, overseeing the implementation of legal initiatives, and ensuring that projects stay on track and meet deadlines. This role reports to the VP of Legal and Risk and will closely collaborate with various stakeholders across the Company, including Operations, Business Development, Talent, and People Services.  

 

Key Responsibilities: 

Legal Process Optimization 

  •  Enhance and streamline legal department processes. 

  • Implement and leverage technology solutions to improve service levels and reporting capabilities. 

  • Harness IT platforms to ensure the Legal Department achieves its objectives and key results. 

  • Improve centralized task management system to streamline the assignment, tracking, and prioritization of legal work, ensuring alignment with business needs and team capacity.

  • Standardized escalation protocols to enhance efficiency, improve accountability, and optimize resource allocation across the legal team.  

 

Operational Excellence 

  • Design solutions to automate routine tasks. 

  • Reduce inefficiencies and enhance the overall productivity of the Legal Department, enabling each team member to focus on the highest value work at the right time.

  • Liaise with cross-functional teams to ensure alignment of the Legal Department’s services with the highest priority corporate objectives. 

 

Contract Lifecycle Management 

  • Collaborate with Contracts Manager in the configuration of the CLM system (Ironclad).  

  • Create workflows and templates.

  • Refine process for integration of contracts into the CLM system on a go-forward basis. 

  • Enable stakeholders to monitor end-to-end contract lifecycle. 

  • Facilitate efficient drafting, reviewing, and negotiating of a variety of contracts, in collaboration with the Procurement, Operations, Talent and Acquisitions functions.

  • Enhance functionality and effectiveness of the CLM. 

  • Participate in and lead training, along with the Contracts Manager, of internal teams.  

 

Litigation Management 

  • Optimize litigation management solution (Origami), ensuring seamless integration with internal systems to track case progress, deadlines, and key documents. 

  • Leverage litigation management technology to enhance matter budgeting, e-billing, and analytics, improving cost control and forecasting. 

  • Standardize workflows and reporting within the litigation management system to drive efficiency, streamline communication with external counsel, and maintain comprehensive case records. 

  • Utilize data-driven insights from the litigation management platform to identify trends, assess risk exposure, and inform strategic decision-making. 

 

Legal Spend Management 

  • Manage and optimize the External Legal Spend platform (Brightflag), ensuring accurate tracking, budgeting, and forecasting of legal expenses across all matters. 

  • Refine and enforce billing guidelines within the platform, monitoring compliance by outside counsel and identifying opportunities for improved external resource investment and administrative efficiency.

  • Leverage analytics and reporting tools to assess spending trends, negotiate better fee arrangements, and drive data-informed decision-making on legal costs.

  • Monitor and report on budget compliance for legal matters, ensuring that matters stay within budget or identifying cases where additional funding may be required. 

What we're looking for

  • Knowledge and experience drafting and negotiating contracts and/or managing and overseeing litigation files.
  • 5+ years of experience in legal operations, legal project management, or a related role within an in-house legal department.
  • Candidates with experience using Ironclad or another CLM, an Ontario paralegal (P1) license, or significant experience in legal operations will be prioritized.
  • Strong understanding of legal department management, including vendor relations, budgeting, and performance tracking.
  • Proven experience in process improvement, workflow automation, and technology implementation within a legal setting.
  • Ability to work cross-functionally with teams in finance, operations, IT, and other departments.
  • Creative problem-solving skills.
  • Excellent analytical skills with a keen attention to detail.
  • Track record of learning to navigate new technology platforms at an advanced level
  • Advanced proficiency in Microsoft Excel and other applications.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Strong communication skills to collaborate with various stakeholders.
