Job DescriptionAbout the role
As a Sales Opportunity Specialist at Adaptavist, you will play a critical role in revenue generation by partnering closely with Account Executives, Account Managers, and customers on licensing opportunities. Customer-focused and results-driven, you will leverage your licensing expertise and systems proficiency to prepare accurate quotes, manage complex deal scenarios, and ensure seamless progression through the sales cycle. To be successful in this role, you will be proactive, adaptable, and detail-oriented—thriving in fast-paced environments, excelling at managing competing priorities, and collaborating resourcefully to drive team success and consistent revenue outcomes.
This is a dynamic role in which you will manage the end-to-end licensing quote process across 20–30 concurrent opportunities at various stages, navigate multiple vendor platforms (HubSpot, Atlassian PPC, Xero, Partner Portal), and serve as a trusted liaison between sales teams, customers, and internal stakeholders. You will handle complex licensing scenarios including renewals, migrations, upgrades, and new business opportunities, while collaborating closely with cross-functional teams (Finance, Legal, Operations, Sales Leadership) to resolve blockers, ensure compliance, and drive successful deal closure. Success in this role requires the ability to learn quickly, problem-solve independently, communicate proactively across multiple channels, and maintain quality and accuracy under tight deadlines in an environment where processes continuously evolve.
What you'll be doing
- Licensing & Quote Management: Managing end-to-end licensing quote processes for Account Managers, Account Executives, and direct customer requests across renewals, upgrades, migrations, and new business opportunities. Navigating multiple vendor platforms (including HubSpot, PPC, Xero, and the Atlassian Partner Portal) to generate accurate quotes, often managing 20–30 concurrent deals at various stages. Processing complex licensing scenarios, including Data Center-to-Cloud migrations, dual licensing, and multi-product bundling. Ensuring all quotes meet internal compliance requirements and vendor standards prior to submission for Finance and Legal review.
- Pricing Support & Deal Structuring: Providing accurate pricing guidance and deal structures using calculation tools and vendor quoting systems. Collaborating with sales teams to structure competitive pricing within approved margin parameters. Navigating discount-approval workflows and supporting deal-registration requirements for opportunities exceeding the $25K threshold. Conducting comparative pricing analyses and recommending optimal licensing configurations based on customer needs and budget parameters.
- Customer & Stakeholder Relationship Management: Serving as the primary point of contact for licensing inquiries from both internal stakeholders and external customers. Managing customer communications throughout the quote-to-close lifecycle, proactively providing status updates and managing expectations around timelines and requirements. Handling inbound licensing requests via multiple channels (email, Slack, phone, HubSpot) and triaging based on urgency and business impact. Managing renewal processes from 90 days out through close, including outreach, quote generation, purchase order processing, and deal closure. Building trusted-advisor relationships with assigned Account Managers and customers through responsive communication and solution-oriented problem-solving.
- Process Navigation & Collaboration: Working cross-functionally with Finance, Legal, Operations, and Sales teams to resolve deal blockers and ensure smooth deal progression. Identifying process inefficiencies and contributing recommendations for workflow improvements. Collaborating with team members to solve complex scenarios and sharing best practices in a fast-paced, rapidly evolving environment where standardization is ongoing.
