Wyse Meter Solutions Inc. provides turnkey submetering and utility expense management services to property managers, building owners and developers across Canada. Wyse is unique in its ability to provide energy consumption transparency and accountability to its customers.

Reporting to the Director, Field Operations, the Project Coordinator, Operations will play a pivotal role in managing and supporting the successful execution of field service projects, including meter installations, troubleshooting, resealing, maintenance, and operations. This includes coordinating schedules, resolving service tickets, and liaising with contractors, suppliers, and vendors. The ideal candidate will have strong organizational skills, a collaborative mindset, and experience in a field service environment, ensuring projects are delivered on time and to the highest standards.

Key Responsibilities

Project Coordination

  • Develop project objectives by reviewing project proposals and plans, consulting with Project Managers, Coordinators, and Management.
  • Assign and oversee tasks for field technicians, ensuring resources are utilized efficiently.
  • Coordinate with clients, property managers, residents, and internal departments to ensure service visits are scheduled in a timely manner, reflecting business standards.
  • Actively monitor service projects from start to finish with great attention to detail. The project coordinator is responsible for seeing each service project through to its completion with a high degree of effectiveness.
  • Track project timelines and identify potential delays. Implement alternative solutions to maintain schedules.
  • Assist in maintaining project schedules by monitoring project progress, coordinating activities, and resolving problems.
  • Ensure all systems meet Measurement Canada, OEB and ESA regulations, maintaining comprehensive documentation for and ongoing communication with Inspectors, and manage those relationships to ensure all identified issues are quickly resolved.

Service Ticket Management

  • Manage incoming service requests, prioritize, and assign tasks while ensuring a timely resolution.
  • Provide consistent, meaningful updates to stakeholders on the progress of open tickets.
  • Collaborate with contractors and field technicians to troubleshoot and resolve issues in the field.

Resource Scheduling and Vendor Management

  • Effectively organize and schedule contractors, suppliers, and vendors to support project delivery.
  • Ensure timely procurement and delivery of materials and services.
  • Maintain strong relationships with external partners to optimize project workflows.
  • Identify areas for improvement and propose optimal solutions.

Client and Stakeholder Communication

  • Serve as the primary point of contact for clients regarding project schedules and service updates.
  • Address client concerns positively and provide resolutions or escalations as needed.
  • Maintain positive relationships with stakeholders to ensure satisfaction and future collaboration.

Documentation and Reporting

  • Maintain accurate records of project plans, schedules, and service activities.
  • Generate and distribute performance reports, highlighting metrics, progress, and areas for improvement.
  • Ensure compliance with company policies and regulatory requirements in all documentation.

Team Collaboration

  • Work closely with cross-functional teams, including customer service/support and technical support, to ensure seamless project execution.
  • Provide administrative and logistical support to the Field Services team as required.
  • Other duties relevant to the position will be assigned as required.

Required Education & Qualifications

  • Diploma or Bachelor’s degree in Project Management, Engineering, Business Administration, or a related field.
  • 2-3 years of experience in project coordination or field services, ideally in the utilities sector or energy management, or a similar industry.
  • Experience working with contractors, vendors and field technicians is an asset.
  • Proficiency in project management tools such as JIRA, SuiteCRM, or other similar platforms.
  • Familiarity with scheduling and CRM systems.
  • Strong Microsoft Office skills (Excel, Word, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and the ability to multitask with a high degree of effectiveness.
  • Detail-oriented with a proactive problem-solving approach.
  • Ability to work independently and collaboratively in a dynamic environment.
  • Valid G driver’s license may be required for occasional site visits.
  • Flexibility to travel and work outside of regular business hours, if needed.
