POSITION SUMMARY:
The Production Coordinator supports daily operations for a stereo conversion project, ensuring that communication, reviews, and documentation flow smoothly across departments. This role is primarily responsible for preparing and executing dailies, capturing and distributing notes accurately, and assisting with the day-to-day tracking and database cleanup needed to keep the show running efficiently.
MAIN DUTIES:
The Production Coordinator will prepare, schedule, and run daily internal reviews with Stereographers. They will record detailed and accurate notes during these reviews and ensure timely distribution to all relevant teams & facilities, maintain shot and task status updates in the production database, ensuring information is current and accurate, and track and communicate daily priorities, shot deliveries, and assignments to team members. They will also be responsible for the following:

- Take and distribute all meeting minutes.
- Support the coordination of turnovers, deliveries, and editorial updates as needed.
- Assist with the organization of assets and reference materials, ensuring proper version control and accessibility.
- Flag scheduling or resource issues to Production Management and help facilitate solutions.
- Maintain clear communication between Supervisors, Artists, and other production staff.
- Primarily focused on 3D conversion work, with the expectation to cross-train and flex into traditional VFX workflows as production needs require.
WHAT YOU BRING:
The ideal candidate will be a self-starter with an ability to work with minimal oversight and collaboratively across departments while managing priorities and tracking updates from multiple contributors. They must have excellent written and verbal communication skills with the ability to clearly document, share, and escalate information to production staff and supervisors, as well as be organized and detail-oriented, with asset management experience preferred. Additional desired skills include:
- 60+ words per minute typing skill required.
- Proficient in Microsoft Suite (especially Excel) and competency in production tracking tools (e.g., ShotGrid/Shotgun, ftrack, Airtable, or similar databases) a plus.
- Understanding of VFX production pipelines and interdepartmental workflows in deadline-driven creative environments a plus.
- Experience maintaining database integrity a plus.
- Flexibility to work both remotely and in studio with extended hours and/or weekends to meet project deadlines.
