Job Description

Purpose

The Payroll Specialist will be responsible for providing timely and accurate delivery of payroll for four (4) main groups of employees: Canada, USA, UK & Australia.


Responsibilities


  • Administer, process and review Canadian, US, Australia and UK Payroll
  • Maintain and update employee information, such as records of employee attendance, leave and overtime to calculate pay and benefit entitlements, in Canadian and other currencies, using manual or computerized systems
  • Prepare and verify statements of earnings for employees, indicating gross and net salaries and deductions such as taxes, union dues, garnishments and insurance and pension plans
  • Prepare, verify and process all employee payroll related payments, including regular pay, benefit payments, and special payments such as bonuses and vacation pay
  • Complete, verify and process forms and documentation for administration of benefits such as pension plans, leaves, share savings, employment and medical insurance
  • Prepare payroll related filings and supporting documentation, such as year-end tax statements, pension, records of employment and other statements
  • Provide information on payroll matters, benefit plans and collective agreement provisions
  • Processing year-end payroll correctly calculating tax obligations, employee earnings, and deductions, reviewing relevant tax documents, and completing and submitting forms to the Canada Revenue Agency and Internal Revenue Services (T4 slips, RL-1, T2200, TP-64.3, W-2)
  • Review employer contributions to statutory programs like the Canada Pension Plan (CPP) and Employment Insurance (EI), ensuring they match recorded expenses. Verify these contributions against payroll summaries and governmental remittance records to confirm accuracy.
  • Ensure payroll remittances for employee income tax, CPP, EI, and Social Security typically due on the 15th of the month following the pay period are filed
  • Calculate the value of RRSP and 401k contributions and determine is taxable
  • Ensure statutory holiday entitlements and related termination pay is in compliance
  • Prepare reports, statements and summaries related to payroll and benefits for appropriate parties and departments
  • Assist with periodical audits (internal, financial and tax authorities)


Qualifications

Employment Prerequisites

Technical Skills:

  • 5-7 years of experience running payroll using ADP, (ADP Workforce Now is a plus);
  • Experience managing full cycle payroll for 250+ employees;
  • Experience with year-end processing and filing;
  • Bachelor's Degree of equivalent/relevant experience
  • Knowledge of legislation and regulatory compliance in Canada, (Australia, UK and USA is a plus);
  • Has the PCP designation – Payroll Compliance Practitioner (Payroll Fundamentals 1&2 and Payroll Compliance Legislation);
  • Minimum 5 years of experience as a Payroll Administrator or similar role.

  • Strong attention to detail;
  • Strong analytical and financial skills;
  • Ability to effectively interact with all levels within the company;
  • Strong organizational skills and the ability to prioritize and meet tight deadlines;
  • Experience working in a dynamic, fast-paced environment;
  • Team-oriented.
