Your role and responsibilities:
Reporting to the VP Finance, the position will autonomously manage the payroll function and execute treasury management in this quickly scaling start-up. This position requires a real self-starter who thrives on collaboration excellence and initiative. You must display a strong sense of ownership and agility, be highly organized, effectively prioritizing and managing multiple projects, and display persistence in navigating through obstacles to deliver results. You also have a high level of integrity and professionalism, with a strong understanding of ethical standards in accounting and finance.

Payroll

  • Autonomously manage the full cycle processing of payroll (including bonuses, taxable benefits, employee reimbursements,  and off-cycle payments as required) for Canada and the US
  • Ensure that our payroll system and our accounting system are reconciled monthly across various jurisdictions’ reporting platforms, our HRIS and our ERP including preparing the necessary journal entries
  • Administer assigned group benefits plans, including setup of new members, processing benefit changes, calculating payroll deductions / taxable benefits, and ensuring timely completion of benefit-related paperwork
  • Ensure compliance with all applicable state, provincial, and federal wage and hour laws and maintain current knowledge for all Xanadu locations
  • Maintain payroll forecast and complete payroll analysis reports to support the Finance team’s compilation of financial reports for senior management and investors
  • Participate in internal and external audits as required
  • Preparation and timely distribution of ROE’s as required
  • Prepare and process year-end reports and reconciliations e.g., T4’s, T2200, vacation carry forward
  • Address employee and management inquiries and concerns regarding payroll or benefits promptly and professionally 
  • Foster effective communication and collaboration with relevant stakeholders, including third-party agencies and service providers
  • Develop, implement, and support innovative and efficient payroll practices and procedures to continuously improve the payroll function

Treasury

  • Provide weekly cash balance updates to leadership
  • Assist with daily bank reconciliations within our ERP and appropriately match / designate cashflows for reporting purposes
  • Investigate failed transactions or settlements to ensure appropriate adjustments are made during reconciliations
  • Create direct payment files and wire templates on bank’s online portal, ensure all wires and transfers are set up according to the AP requests
  • Develop and maintain positive relationships and consistent communication with our banks, financial institutions and with key internal business partners

Basic qualifications and experience:

  • Possession of PCP Certification
  • 5-6 years of experience in a Payroll and Treasury Analyst or similar role, showcasing comprehensive knowledge of full-cycle payroll practices and procedures
  • Experience working with ADP Workforce Now 
  • A high degree of professionalism and empathy when communicating with all stakeholders
  • Strong understanding of Provincial and Federal regulations and policies
  • Customer-focused and service-oriented mindset

Preferred qualifications and experience:

  • Experience with  benefits administration in Canada and the US
  • Experience with PEO (Professional Employer Organisation) for international employees  
  • Understanding of state (e.g., US) and international regulations and policies
  • Familiarity with Netsuite
This is for an existing position. Your base salary will be determined based on your location, experience, and internal benchmarks. The base salary range is 100,000 - 130,000 CAD. You will also be eligible for equity and benefits.
