The Ontario Securities Commission (OSC) is the statutory body responsible for regulating Ontario’s capital markets in accordance with the mandate established in the provincial Securities Act and the Commodity Futures Act. The mandate of the OSC is to provide protection to investors from unfair, improper or fraudulent practices, to foster fair, efficient and competitive capital markets and confidence in the capital markets, to foster capital formation, and to contribute to the stability of the financial system and the reduction of systemic risk. This mandate is performed through policy, operational, and enforcement activities. The OSC also contributes to national and global securities regulation development.

What We Do

The Finance and Administration Division exercises leadership through its strategic allocation of financial resources and managing of financial risks proactively to meet OSC regulatory responsibilities. The division provides financial management and analysis, budgeting and forecasting, treasury, procurement and contract management services. In addition, the division is responsible for Administration, providing workplace design and facilities management services.

Reporting to the Manager, Administration and working under the guidance of the Office Services Supervisor, the Office Services Summer Student provides a variety of support and services to the Commission including:

Mail Services

  • process incoming and outgoing correspondence, including opening, sorting, logging, collecting mail and courier items; 
  • scan and process incoming mail and courier items daily;  
  • coordinate courier pickups with various courier companies;  
  • data entry, such as cheque logging; 
  • sign for receipt of goods or services;  
  • apply postage and drop off outgoing mail. 

Office Services

  • perform copy centre services such as photocopying, binding, collating, scanning;  
  • distribution of paper & office supplies to resource areas throughout the office;
  • manage bookings and set ups of meeting rooms for various furniture configurations;
  • issue and log taxi chits to staff as requested;
  • respond to and fulfill requests for office supplies and equipment.

Facilities Services

  • assist with minor moves and furniture relocations; 
  • investigate facilities complaints and resolve or escalate to building personnel or service providers; 
  • supervise maintenance workers both during and after regular business hours;
  • perform regular maintenance inspections of building lights, sanitizing stations, kitchens and resource areas; 
  • perform regular maintenance of all shared spaces (e.g., reception, meeting rooms, kitchens, 60 minute rooms, etc.), ensuring furniture is reset and supplies are restocked; 
  • track office and furniture key assignments and assist staff with lost/forgotten keys; 
  • assist staff with forgotten locker passcodes. 

Administration

  • respond and track service requests through the Request Manager system; 
  • distribute and log temporary security badges on a daily basis; 
  • participate in Department and Division projects. 

What do you need to be successful in this role?

  • Completed or currently enrolled in a Business Administration, Office Administration, or similar program in a related field.
  • Demonstrated understanding of related concepts, theory and best practices.
  • Strong work ethic and an ability to meet deadlines in a dynamic, fast-paced environment.
  • Possess strong verbal and written communication skills.
  • Proficiency with MS Word, Excel, and Outlook.
  • Ability to work on a team with a collaborative attitude that enables you to be helpful to all levels of employees and external contacts. Excellent customer service skills with the ability to manage time and address competing priorities.
  • Possess a high level of attention to detail and the understanding and commitment to maintaining confidentiality.
  • Experience in a building facilities role, mail room or customer service environment is an asset.
