Wisedocs is on a mission to make it easy and accessible for any company in the insurance, legal and medical space to understand medical documents quickly using AI (Artificial Intelligence). Every week, we process hundreds of thousands of pages of documents, saving our customers hours and hours of manual processing time, and helping them process medical claims much more quickly. 
The Office & Events Coordinator is highly organized and detail-oriented and provides crucial support to our team. This role requires a proactive individual with excellent communication skills and a passion for both administrative tasks and event planning. The ideal candidate will be a resourceful problem-solver who thrives in a fast-paced environment and enjoys contributing to a variety of projects. 
 
This is a part-time role 3 days/week in our downtown Toronto office

What you'll be doing:

Administrative Support: 

  • Manage office operations, including maintaining supplies, coordinating mail and deliveries, and ensuring a clean and organized workspace. 
  • Provide comprehensive administrative support to the Executive team 
  • Troubleshoot basic IT issues and escalate complex problems to the appropriate IT support team. 
  • Manage IT equipment inventory and ensure proper maintenance. 
  • Coordinate IT onboarding for new employees.  
  • Support the Executive team with calendar management, travel arrangements, and preparing presentations/decks. 
  • Assist with CEO/COO communications and other ad-hoc projects as assigned. 
  • Manage office gifting for clients and employees. 
  • Coordinate catering for meetings. 

Event Planning & Coordination: 

  • Manage employee travel arrangements (flights and hotels) related to events. 
  • Assist with yearly event strategy, planning and day-of coordination  
  • Coordinate the ordering and distribution of event collateral and swag. 
  • Manage event booth logistics and operations. 
  • Support event budget management. 
  • Organize and execute various company events, from small meetings to larger corporate gatherings. 
  • Other duties and projects as assigned  

You're a great candidate if:

  • Proven experience in administrative support and event planning. 
  • Experience in equipment management and basic technical troubleshooting (i.e. password resets or facilitating new logins)  
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines. 
  • Strong communication (written and verbal) and interpersonal skills.    
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Ability to work independently and as part of a team. 
  • Detail-oriented and with a high level of accuracy. 
  • Proactive and resourceful problem-solver. 
  • Ability to handle multiple projects simultaneously. 
  • Positive attitude and a strong work ethic.
