Job Overview:

The Receptionist will play a crucial role in maintaining the smooth daily operations of the office and providing a warm, professional, and welcoming atmosphere. The position requires a high level of professionalism, organizational skills, and the ability to manage multiple tasks efficiently in a fast-paced environment. You will be the first point of contact for visitors and clients, while also supporting administrative functions and internal office tasks. 

Key Responsibilities:

  •  Front Desk & Visitor Management: Greet clients, visitors, and guests in a warm, professional manner, reflecting the high-end brand of Studio Munge.
  •  Answer and direct incoming calls, take messages and provide information as needed.
  •  Manage meeting and conference room schedules, ensuring smooth coordination for client and internal meetings.
  •  Administrative Support & Office Organization: Provide administrative support, including filing, document management, and organizing office supplies.
  •  Handle incoming and outgoing mail, packages, and deliveries.
  •  Assist in scheduling appointments and managing staff calendars.
  •  Assist with preparation and coordination of client meetings and events, including setting up rooms and arranging refreshments.
  •  Data Entry & Record-Keeping: Assist with maintaining accurate records of client contacts, appointments, and communication logs.
  •  Perform data entry tasks related to office operations, ensuring that files and documents are correctly organized in both digital and physical formats.
  •  Kitchen and Office Supplies Management: Manage the office kitchen, ensuring cleanliness and stocking of essential items, such as snacks, beverages, and kitchen supplies.
  •  Oversee the upkeep and operation of the coffee machine and other kitchen appliances, coordinating maintenance as necessary.
  •  Regularly order office supplies, ensuring that stock levels are adequate and well-maintained.
  •  Coordinate with vendors for office-related orders and supplies.
  •  Client Relations & Communication: Serve as a liaison between the studio and clients, assisting with client inquiries and providing excellent customer service.
  •  Ensure client communications are aligned with Studio Munge’s luxury branding and service standards.
  •  Team Collaboration & Office Support: Collaborate with the design, operations, and management teams to ensure the efficient operation of the studio.
  •  Assist with planning and organizing in-house events or external events involving the company.
  •  Help coordinate logistics, catering, and set-up for meetings or client presentations, making sure that everything is ready before guests arrive.
  •  Ensure the studio environment remains organized, welcoming, and reflective of Studio Munge’s design ethos.

Qualifications:

  •  Experience: Previous experience in an administrative or receptionist role, preferably in a luxury, design, or hospitality environment.
  •  Experience handling office supplies, kitchen management, and vendor coordination is highly desirable.
  •  Knowledge of or willingness to learn office management and project tracking systems.
  •  Skills: Excellent communication and interpersonal skills with the ability to maintain a professional demeanor at all times.
  •  Strong organizational and multitasking skills with keen attention to detail.
  •  Ability to work independently while also collaborating effectively with a team.
  •  Proficient in office software, including Microsoft Office Suite and Google Workspace.
  •  Strong problem-solving abilities and initiative.
  •  Discretion and confidentiality when handling sensitive information.
