Job Description 

Department: Community Services

Position: Meals On Wheels & Billing Coordinator

Hours: Weekdays 9:00am-5:00pm (75hrs biweekly) Weekends and evening work may be required.

Status: Permanent Full Time

Date Required: ASAP

Purpose

Under the direction of the Supervisors of the ADP and FEC Day Programs and Manager, Community Services, the MOW & Billing Co-ordinator is responsible for the monthly billing of Community Services programs, including invoicing and receipt of payments. Performs clerical and administrative duties within the Community Services department as needed. Assists with the facilitation of the Meals on Wheels (MOW) program in the efficient delivery of Italian meals to seniors and/or adults with disabilities who are living at home and are unable to prepare own meals.

Experience & Education

  • A minimum of Grade 12 education or equivalent, post secondary education preferred.
  • Must have a proficient level of conversational Italian language skills.
  • Must be at a proficient level of computer literacy with Microsoft Windows, Word, Excel, Outlook and Resident Information related software.
  • Must possess excellent verbal and written communication skills.
  • Must have excellent interpersonal and relationship building skills.
  • Demonstrated ability to organize work and prioritize multiple demands in a fast-paced environment.
  • Demonstrated ability to work as part of a team.
  • Must have excellent problem solving and analytical skills.
  • Knowledge of medical terminology.
  • Must have valid Driver’s License

Responsibilies Include (but are not limited to):

  • Maintain a safe environment for the clients.
  • Ensure a healthy and safe work environment by taking action to address unsafe conditions and procedures.
  • Assist food services staff with packaging of meals in containers. 
  • Assist with the distribution of packaged meals in the appropriate thermo meal bags.
  • Communicate with volunteers any route changes or special instructions.
  • Prepare maps for drivers. 
  • Count meals in bags before handing over to volunteer driver.
  • Distribute bags to volunteer driver according to the routes they will be delivering.
  • Assist volunteer driver to load meals into car as may be required.
  • Assist in the delivery of meals when required
  • Return all agency supplies, meals bags and carts to kitchen area for cleaning.
  • Report any concerns, observations, and changes to Manager and assist in maintaining records up to date. 
  • Maintain and update client lists of the Frail Elderly Centre, Adult Day Program and Meals-on-Wheels.
  • Collect and record all payments from Frail Elderly Centre, Adult Day Program, Meals-on-Wheels.
  • Prepare invoices for all Frail Elderly Centre, Adult Day Program, Meals-on-Wheels clients.
  • Attend regular staff meetings.
  • Prepare statistics from all Villa Colombo Community Services programs
  • Prepare month-end reports for accounting.
  • Perform other related assigned duties.
