Perkins&Will has an exciting opportunity for a creative and highly skilled individual to join our Marketing and Business Development team in a multifaceted role as Marketing and Proposal Coordinator.

This position will be based in our Ottawa or Toronto studio.

Roles and Responsibilities

  • Coordinate and prepare strategic, comprehensive, and creative responses to RFPs, RFQs, and RFIs. Responsibilities include leading coordination meetings, developing deliverable schedules, managing document layout and design, drafting content, editing and compiling input from team members and consultants, as well as overseeing graphics, data entry, production, and final delivery.
  • Liaise with Sector Leads, internal team members, and sub-consultants throughout the proposal development process to ensure alignment and quality.
  • Lead or support interview preparation and strategy, including the coordination and production of graphic presentations, qualifications packages, and custom marketing collateral for prospective clients.
  • Coordinate client debriefs following proposal submissions or interviews.
  • Proactively monitor procurement websites and other sources for new business opportunities and follow up on leads in collaboration with Sector Leaders.
  • Develop, draft, edit, organize, and proofread a variety of marketing materials including proposal content, project sheets, team resumes, award submissions, brochures, media pieces, and interview materials, ensuring all content is strategic, compelling, client-focused, and aligned with Perkins&Will’s brand standards
  • Support business development efforts for both our Toronto and Ottawa studios as required.
  • Conduct research on prospective clients, industry trends, and emerging market opportunities.
  • Manages project and client data in firmwide databases.

Key Skills and Requirements

  • 1-3 years of experience
  • Strong writing and storytelling skills to craft persuasive, well-structured proposals and marketing content that convey clarity, accuracy, and impact.
  • Demonstrates active research skills, a strong interest in market trends, and the ability to gather background information to fully understand the local competitive landscape.
  • Keeps open and clear communication.
  • Uses storytelling to enhance marketing strategy.
  • Uses a creative approach to perform tasks and responsibilities on projects in an organized, timely, and consistent way.
  • Self-checks work for accuracy, omissions, and legibility.
  • Proactively asks questions and expresses curiosity about the industry at large.
  • Assists with coordination among teams, potential clients, and consultants.

Reporting Structure

This role will report to the Marketing Manager

Salary Band

In accordance with Ontario pay transparency requirements, the expected salary range for this role is $69,200–$88,300 annually.
