About the role

The Manager, Pension Data & Employer Services oversees the integrity, governance, and operational management of employer and member data within the pension administration framework. This role leads a team accountable for employer onboarding, ongoing data submissions, contribution reconciliation, and issue resolution, while maintaining strong relationships with participating employers.  The Manager also drives employer training and change management initiatives to support adoption of employer system changes and OPTrust system enhancements, ensuring data quality, compliance and seamless employer experience.

Accountable for delivering accurate, timely, and compliant data processes that support pension administration, actuarial valuations, and member experience, while mitigating operational and regulatory risk. In partnership with the leadership team, the Manager supports the advancement of AI and data analytics to strengthen data-driven decision making, performance and risk management.

What you’ll do

Pension Data Management & Governance

  • Own end-to-end employer data governance, including the collection, validation, reconciliation and data quality frameworks.

  • Ensure data accuracy, completeness and timeliness of pension data to support downstream processes (benefit calculations, actuarial valuations, financial reporting, member services).

  • Establish and monitor data quality metrics; identify root causes and implement sustainable fixes.

  • Embed strong data governance controls and maintain audit-ready processes.

  • Deliver reporting on employer compliance, data quality, operational performance and membership employment trends.

Employer Relations & Stakeholder Management

  • Serve as the primary escalation point for complex employer issues related to data submission, interpretation of plan rules, and compliance requirements.

  • Build and maintain strong relationships with participating employers, reinforcing accountability for data quality, completeness and timeliness.

  • Influence employer processes to improve operational efficiency and effectiveness for all parties.

  • Lead employer onboarding, training, and ongoing engagement initiatives to strengthen employer capability, support change adoption, and promote consistent quality employer experience.

Operational Leadership

  • Lead, coach and develop a high-performing team responsible for employer data intake, validation,  employer relationship and support.

  • Manage work prioritization, capacity planning, and resource allocation to meet compliance and operational standards.

  • Establish and monitor operational KPIs and service standards to ensure effective and consistent execution.

  • Proactively identify and drive continuous improvement initiatives to enhance efficiency, accuracy, and employer experience.

Compliance, Risk & Controls

  • Ensure adherence to pension legislation, plan rules, internal policies and employer data requirements.

  • Identify and mitigate data-related risks, including privacy, financial, operational, and reputational risks.

  • Implement and maintain effective internal controls and support audits and regulatory reviews by maintaining audit-ready processes and documentation.

Cross-Functional Collaboration & Transformation

  • Partner with Pension Operations, IT, Actuarial, Finance, and Member Experience teams to resolve data issues and improve end-to-end processes.

  • Provide subject matter expertise on employer data and operational impacts to inform business decisions, system changes and process design.

  • Support system implementations, data migrations, and transformation initiatives by defining business requirements, assess operational impacts, and employer support adoption.

  • Perform other duties as assigned.

What you bring

  • University degree in Business, Finance, Data Management, or a related field.

  • 5 years of experience in pension administration, employer services, or data management.

  • Ability to see the big picture and manage the details.

  • Strong service orientation in addition to exceptional interpersonal skills, tact, and good judgment.

  • Effective written and verbal communication skills.

  • Strong understanding of defined benefit pension plans and regulatory requirements (e.g., Ontario pension environment), CEBS or PPAC is an asset.

  • Proven leadership experience in managing and developing high performing teams in an operational environment with clear accountability, coaching, and performance management.

  • Experience with data validation, reconciliation and data governance frameworks.

  • Skilled at building trusted partnerships, influencing employer behaviour, and resolving complex issues.

  • Ability to design, manage, and continuously improve efficient, high-volume data and service processes.

  • Proactively identifies risks and implements controls to ensure compliance and protect plan integrity.

  • Proven track record in using data insights to identify trends, solve root causes, and drive long-term improvements.

  • Exposure to business intelligence or data mining and working experience with MS Power BI or Tableau and AI tools.

  • Ensure clear understanding and adherence of all OPTrust’s policies, procedures, guidelines as well as living our values and fostering an inclusive culture.

  • Build, engage and retain a diverse, high-performing team and foster an inclusive culture where team members are empowered to do great work on behalf of our members. Is familiar and ensures compliance with applicable employment legislation guidelines and the Collective Bargaining Agreement (CBA) for managing a workforce.

  • Also ensure employees adherence to current and future employment policies, procedures and compliance guidelines and takes necessary steps to mitigate operational risks. This is inclusive of but not limited to, the Code of Conduct, Conflict of Interest Policy, Health and Safety Policy, Impairment at Work Policy, Information Security Policy, Personal Trading Policy, Privacy Policy, Respectful Workplace Policy and any future employment related policies.

This posting is for an existing vacancy.

The base salary range for this position ranges from $100,000 to $130,000.

The exact placement within the range will vary based on a variety of factors including: the candidate's knowledge, skills and experience relative to the requirements of the role, internal peers and the external market. In addition to base pay, this role is eligible to participate in the OPTrust incentive program, the defined benefit pension plan and comprehensive benefits.
