Overview
Reporting to the Director, Investor Relations, the Manager of Investment Administration is responsible for aiding in the professional management and administration activities for Centurion Asset Management Inc. The role ensures accurate, timely, and compliant execution and oversight of investment administration activities while upholding Centurion’s established standards and service commitments to its Unit Holders.
The Manager, Investment Administration is accountable for the effective and efficient delivery of investment administration functions and provides leadership, oversight, and guidance to the investment administration team in support of operational excellence, transparency, and continuous improvement. The role plays a key part in ensuring high-quality operational reporting and information flow to support internal decision-making and investor communications.
Responsibilities
People Leadership & Team Management
The Manager, Investment Administration is responsible for leading, coaching, and developing the Investment Administration team by setting clear performance expectations and fostering a culture of accountability, collaboration, and excellence. This role manages team capacity and workload to ensure appropriate coverage across subscriptions, redemptions, distributions, commissions, and reporting cycles, and serves as the primary escalation point for complex or sensitive advisor, investor, or dealer matters.
The Manager ensures team deliverables are completed accurately and on time, with a strong emphasis on documentation, reporting discipline, and adherence to established controls.
Operational Oversight & Execution
The Manager oversees the end-to-end investment administration lifecycle, including subscription agreements, redemptions, distributions, transfers, and commission processing. The role ensures all transactions meet established compliance standards, internal controls, and service-level expectations, with a strong focus on accuracy and same-month closings.
Daily and monthly review controls are implemented and maintained over electronic fund databases, workflows, reporting outputs, and tracking systems to ensure data integrity, completeness, and timeliness. Operational performance, backlog, exception reporting, error rates, and turnaround times are monitored and summarized to proactively identify risks, trends, or bottlenecks and escalate issues as required.
The Manager ensures that operational data and reporting outputs are reliable and aligned to support internal management reporting and investor-facing communications.
Process Improvement & Automation
The Manager drives continuous improvement initiatives aimed at streamlining workflows, improving data quality, reducing manual processing, and enhancing scalability. This includes establishing and maintaining standardized procedures, documentation, controls, and reporting frameworks to ensure consistency across funds, products, systems, and team members.
The role supports automation, system enhancements, and reporting improvements by working collaboratively across internal teams to improve operational efficiency and transparency.
Relationship Development
The Manager develops and fosters strong relationships with internal and external stakeholders and ensures proactive and timely resolution of advisor and client inquiries, feedback, or concerns. A high level of professionalism is maintained at all times through consistent alignment with Centurion’s Vision, Mission, and Values, supporting a strong sense of trust and community and contributing to strong advisor and investor satisfaction.
The role works closely with Investor Relations to ensure accurate, consistent, and timely information is available to support investor communications and inquiries.
Ongoing Operations
The Manager oversees the subscription agreement process to ensure all agreements meet established compliance standards, are addressed within 24 hours, and close within the same month of receipt. Electronic fund databases are reviewed to ensure all requests are handled accurately and that relevant information is properly captured within Centurion’s tracking systems.
Reports and system controls are used to follow up on outstanding items and ensure all documentation required to complete trades is obtained. The role oversees the reconciliation of monthly distribution rates in accordance with fund management instructions, ensures investor account information remains accurate and up to date, and confirms that redemption requests are processed in accordance with established policies and procedures.
Additional responsibilities include overseeing the preparation and delivery of trade confirmations, unit holder certificates, welcome letters, investor statements, and related correspondence. The Manager coordinates the payment of commissions to advisors and dealer firms, completes and files monthly Security Commissions reports to ensure all associated fees are paid in a timely manner, and maintains continuous compliance with Anti-Money Laundering regulations and Centurion Asset Management Inc. fund policies.
Requirements
- Bachelor’s Degree in Business Administration or a related field;
- A minimum of 5-7 years’ fund administration experience;
- Exceptional written and oral communication skills;
- Excellent organizational skills with a strong ability to multi-task.
- Strong interpersonal skills;
- Detail-oriented; able to resolve problems using facts, sound reasoning and common sense;
- Forward thinking with an ability to develop creative strategic solutions to issues;
- Strong follow-up skills with the ability to effectively resolve difficult issues in a timely manner;
- A passion for excellence in customer service delivery; and
- Successfully completing the exempt market dealer course within the first six (6) months of employment.
- Strong understanding of exempt market products, transfer agency operations, and regulatory requirements
- Proven experience driving process improvements, automation initiatives, and cross-functional projects.
- Intermediate - Advanced proficiency in MS Office (Excel, Word, PowerPoint); experience with fund administration systems and Salesforce, Power BI tools is an asset.
