Job Summary:

The Fund Operations Manager provides second-level governance of all fund administration activities, monitoring both internal shared service teams and external third-party administrators. This role serves as a central hub for ensuring alignment, accountability, and risk management across stakeholders throughout the fund lifecycle. Key responsibilities include maintaining comprehensive oversight of operational activities, safeguarding compliance with Canadian regulatory requirements, strengthening controls to reduce errors, and enhancing fund integrity and performance. The position also involves supporting new product launches and product enhancements for mutual funds and ETFs by acting as a local subject matter expert, partnering with global teams, and driving outcomes. Additionally, the specialist establishes a local oversight model to ensure accountability and supports projects that improve governance, operational efficiency, and compliance infrastructure.

Key Responsibilities: 

  • Hires, evaluates, and supervises crew.  Provides guidance and training as necessary to develop crew.  Sets performance standards, reviews performance, and makes informed compensation decisions in accordance with all applicable Human Resources policies and procedures. 
  • Serve as the primary local point of accountability for shared service teams and external administrators, ensuring strong coordination, operational transparency, and alignment with organizational expectations. 
  • Exercise independent oversight of fund administration activities, ensuring effective risk identification, escalation, and resolution while maintaining appropriate segregation from day-to-day processing.
  • Evaluate and challenge internal shared service and external service provider performance against KPIs, SLAs, and regulatory obligations, driving accountability and ensure the delivery of high-quality, compliant services. 
  • Lead the identification and remediation of systemic service provider risks, shaping corrective plans, monitoring execution, and proactively advising management on emerging trends and risk implications.
  • Represent the organization as the local lead for third-party service providers, ensuring operational practices remain aligned with regulatory expectations and market standards. 
  • Steer strategic and regulatory initiatives, including fund launches, readiness programs, operational risk efforts, and other enterprise projects that require cross-functional leadership and oversight. 
  • Oversee post launch governance and post-implementation reviews, validating successful product integration and championing continuous improvement across processes, controls and stakeholder engagement.
  • Deliver high-impact oversight reporting to management, synthesizing control effectiveness, operational performance, and key risk insights to inform decision-making and strengthen governance.  

Experience:

  • 7-10 years of experience in fund administration, fund operations, compliance, audit and tax.
  • Broad exposure to multiple functional areas of the fund lifecycle and governance oversight.
  • Experience in third-party monitoring and performance, including KPIs, SLAs, and compliance and contractual obligations
  • Experience analyzing operational performance data, identifying recurring issues, and recommending effective remedial strategies.
  • Strong understanding of Canadian regulatory requirements affecting fund administration.
  • Experience supporting product launches and enhancements for mutual funds and ETFs.
  • Strong project coordination and change management skills
  • Proven track record of building and maintain strong relationships with internal stakeholders and external fund administrators.
  • Strong experience preparing and delivering oversight reports, risk assessments, or performance summaries to senior management.
  • Experience contributing to the design and implementation of improved governance processes, controls, or operational efficiency initiatives.
  • Proven experience managing direct reports, with responsibility for managing development and coaching.

Pay Transparency 

Expected Salary Range:  $126,000 - $176,000

Role status: existing vacancy

 

Our compensation ranges are based on role, level, and local market. Individual pay within the range is determined by factors such as job-related skills, experience, and relevant education or training. For part-time roles, pay will be pro-rated based on regularly scheduled hours.  

 

In addition to the range above, Vanguard’s total compensation package may include performance-based incentives, discretionary bonuses, and other perks. We also offer comprehensive benefits such as health insurance, accident and life insurance, and retirement savings plans.
