ABOUT THIS ROLE

Apex Fintech Solutions is seeking a detail-oriented, proactive, and customer-focused individual to join our team as a Lead Onboarding Specialist (Institutional). This role requires a seasoned professional with expertise in onboarding institutional clients in the financial services industry. As the Lead Onboarding Specialist, you will oversee the end-to-end onboarding process for new clients, ensuring compliance with regulatory standards and industry best practices while delivering exceptional client experiences. You will support a team of onboarding specialists, streamline processes, and serve as a key liaison between internal teams and clients during the transition to our platform and services.

Duties/Responsibilities

  • Lead the onboarding process for institutional firms, educating and answering their questions, communicating timelines, identifying blockers and escalating with stakeholders when necessary, resulting in quick resolution and absence of ambiguity. 

  • Establish and maintain strong relationships with clients, sales, relationship management, service and the internal onboarding teams so that all stakeholders are aware where new clients are in their onboarding journey.

  • Guide and support clients through the onboarding process utilizing knowledge of advisor firms’ expectations for onboarding with new custodians creating trust and confidence with Apex.

  • Liaise with key platform partners (Orion, Advyzon, Docupace, AdvisorArch, etc) on shared onboarding processes eliminating risk and delays for firms as they onboard. 

  • Coordinate with the Apex onboarding team, and platform partners’ teams, to ensure technical setup is flawless.

  • Develop and maintain an "at-a-glance" dashboard to provide the institutional and Onboarding leadership teams with up-to-date information on the onboarding journey of every client.

Education and/or Experience

  • Bachelor’s degree in business administration, finance, or a related field (or equivalent work experience) required

  • 5+ years of experience in client onboarding in a financial services or broker-dealer environments. Experience leading teams is preferred

  • Deep knowledge of the client firm's onboarding expectations with new custodians and a proven track record of successful firm transitions

  • Experience managing complex projects involving multiple technology vendors

  • FINRA SIE and Series 99 or Series 7 required within 6 months of hire; Series 7 License preferred

Required Skills/Abilities

  • Excellent project management, organizational and communication skills – attention to detail is a must

  • Strong relationship-building skills, with the ability to establish trust and credibility with clients and internal teams

  • Exceptional communication and interpersonal skills

  • Technical acumen and ability to quickly learn new technologies

Work Environment

  • This job operates in a hybrid, office environment

  • This role will require up to 20% travel

Salary Range

$100,800-$126,000

The annual base salary range for this position is noted above. Exact compensation offered may vary depending on job-related knowledge, skills, experience, and office location.
