About the Team:
This is a one-person team role, offering an exciting opportunity to build and shape a new HR function at Cova Software from the ground up. As the sole HR professional, you will have the autonomy to design and implement key processes, systems, and strategies that align with Cova's goals and values as the dominant retail technology company in the cannabis space.
About the Role:
As an HR Manager, you’ll be the Swiss Army knife of our Cova team, handling everything from recruitment and employee relations to payroll, benefits, and compliance. You’ll collaborate with leadership to foster a positive, vibrant workplace while helping to shape HR strategies that align with our company’s values and ambitious growth objectives. What You’ll Be Doing:
- Act as a business partner to leaders on HR and employee matters, providing guidance and coaching to ensure compliance with policies and consistency across Cova.
- Lead initiatives to enhance employee engagement, retention, and company culture.
- Manage the full recruitment cycle for open roles, from intake meetings, job postings, and candidate screening to interviews, offer letters, and smooth onboarding of new hires.
- Manage payroll processes, including maintaining payroll data, processing changes to deductions and earnings, resolving discrepancies, ensuring compliance with payroll policies, and handling reporting such as T4/W-2 forms, Records of Employment, and ensuring timely and accurate payroll processing.
- Oversee vacation, sick leave, and other HR tracking processes using an HRIS (i.e. UKG) or other administrative methods, ensuring compliance with legal and contractual requirements in both Canada and the US.
- Manage the entire employee lifecycle, ensuring smooth transitions from preboarding through offboarding.
- Administer benefits programs in the US and Canada, including handling disability claims, communicating with insurance providers, managing accommodation requests, and supporting early or modified returns to work.
- Maintain and audit employee records, leveraging technology to streamline HR processes, resolve system issues, and improve digital filing and reporting efficiency.
- Organize and maintain HR databases, ensuring proper storage, confidentiality, and accuracy of documentation.
- Track and report on key HR metrics to provide insights for continuous improvement.
- Stay up to date on changes in employment legislation and their potential impact on company policies and practices.
- Assist with various administrative tasks, including preparing employment verification letters, managing immigration processes, and coordinating meetings.
- Participate and contribute to Cova’s management team on tactical and strategic planning related to people and culture issues.
What we’ re Looking For:
- 3-5 years of experience in progressive HR roles, preferably with technology companies and have a passion for early or growth stage enterprises.
- Hands-on comprehensive experience across all HR functions with a deep understanding of HR standards and best practices.
- Demonstrated ability to collaborate with stakeholders at all organizational levels and across various business functions.
- Strong knowledge of employment regulations, including the Employment Standards Act and Human Rights Act.
- Proficient in using HR Systems such as HRIS and Applicant Tracking Systems.
- Detail-oriented, adaptable, and skilled in communication, organization, and problem-solving.
- Proactive team player, excelling in fast-paced, dynamic environments.
